Managing HR related documentations and ensure all documents relevant updates are made as required Maintaining records of all administrative expenses, staff office space, phone and other admin related Working on SAP (Managing leave requests, duty resume requests and attendance regularization requests of the employees) Answered employee inquiries Working on DAMAS (making document transmittals, Internal memo, issuing letter reference number) Organize and maintain staff personnel files, travel arrangements and expense reports Preparing & proceeding leave application for the workers (manually) (Sick, Annual, Emergency etc) Approving workers leave on SAP or delegating to the line managers Responsible to keeping track of the workers leave Duty Resumptions (workers re-joining) Preparing personnel files for all the employees Staff/Labors (soft and hard copies) Issuing Disciplinary Actions as per request from the department (employee relations) Recording and updating master sheet of employees (Labors/Staff) Making local & overseas Recruitment report Providing Labor mobilization report Bi-weekly Preparing Manpower report weekly Attending welfare meetings and discussing the labor issues with welfare officers Preparing absenteeism report and issuing Disciplinary actions for unauthorized absence Coordinate with labor relations and preparing separation applications (Resignation/Termination) Processed employee termination paperwork Review and verify workers monthly timesheet Coordinate with payroll team and Processing attendance Monitoring and keeping records of camps, notifying camp supervisors for separated workers upon their last working date Monitoring QID/HMC and Insurance Card renewal of the workers Renewing health card for the employees Monitoring passport renewal and sending request to Government affairs Department to update the renewed passport number on QID for employees Monitor overtimes, food distributions and transportation of employees Coordinates with authorized persons in transmitting confidential documents Making all types of transmittals for HR & Admin Department Assisting with payroll by providing the department with relevant employee information, i.e., holiday and sick days taken Schedule interviews for the direct hired candidates (offline or online) Preparing and sending manpower requisition (Manpower request) as per the requirement from the business unit to the recruitment team Preparing and sending recruitment evaluation form (for selected candidates) to recruitment team for hired candidates Joining formalities of new joiners Efficiently delivered personnel information to management for speedy corrective action.
