Legal Assistant

Social Security Administration
  • As a Court Records Assistant (CRA) my duties consist of but limited to certifying and closing out paper and electronic New Court Cases (NCC) once the Civil Action Assistant (CAA) receives and inputs the primary information for the NCC
  • Review supporting information (medical evidence, financial evidence, testimony, etc.) for completeness, accuracy, and compliance within SSA regulation
  • Receive and scan court transcripts and create an Electronic Court Administrative Record (ECAR) in EVIEW
  • I expedite all mandatory document to the ECAR and check for Personal Identifiable Information (PII) and create a Certification (CERT) page using Microsoft Word, which is added to the ECAR in EVIEW
  • After completion of that step I must FINALIZE the ECAR in EVIEW
  • Once the CAR is finalized my next step is to Segment and Burn the ECAR to a CD using encryption software, where I will then close out the existing New Court Case and send a copy of the CERT to the required US Attorney Office
  • Upload the Electronic Court Administrative Record (ECAR) to the USAfx database
  • Provide reports to my superiors.

Mail File Clerk

Social Security Administration
  • Input New Court Cases for claimant within but not limited to the state of Kentucky
  • Within this process I work with various Databases and Information systems, such as MIMs, PACER, ARPS, PCOM and LOTS
  • Once I input the claimant's information, I obtain all necessary print-out from MIMS, PACER, ARPS, and PCOM DIBwiz prints
  • Afterward, I enter the claimant's information into LOTS
  • Once this is done, I log into PCOM to do a 505 action with advises OHA of the suit
  • After I receive the claimant’s case file, I check for timeliness of the suit by referencing the dates off the Notice of Appeals Council and complaint date from my PACER print-out
  • I input these dates into my Julian calendar which calculates timeliness of the suit
  • With the suit being timely I move to the next step
  • If it is not timely, I must enter Word and fill out the necessary information for an Untimely Declaration
  • Next I request the transcripts from the hearing CD
  • If a CD is not available, I must request on from the proper hearing office
  • Afterward I associate all my printout and enter LOTS to update my actions and assign the case to a tech
  • As a Mail & File Clerk my other duties include: Delivering requested claim files to its proper Clerk
  • Closing out New Court Cases after prong filing
  • Assigning cases to designated CRT
  • Burning Hearing CDs after receiving an E-File
  • Associating Summons and Complaints to proper file once received via, fax, mail, or email
  • Associates Judgement, Order and Memorandum Opinion for Remands
  • Process Remanded Court Cases for Analyst review
