Maintain calendar, vacation requests, time keeping, meetings, schedule conference calls, travel arrangements, confidential files, and expense reports. Maintain files of contracts, invoices and projects. Update spreadsheets for base budgets, extraordinary and capital budgets as well as monthly contract invoices. Work with Operations Department’s upper management on yearly budgets. Ensure that all insurance information is up to date with our vendors and contractors. Liaison for vendors, contractors, architects and tenants in resolving discrepant information regarding payments, AIA contracts, change orders and tenant reimbursement monies. Schedule maintenance/repairs for tenants with our engineering and cleaning personnel and back charge additional fees that are not included in the tenant’s lease. Facilitate scheduling of deliveries for companies and/or events. Delegate tasks to a team of 3 to ensure the office and staff are operational. Train new hires of departmental programs and office procedures.
