Responsibilities:
Managing campus facility civil maintenance and Landscape operations across a total area of 6.5km2 (65 buildings)
Managing end user requests, work requests and work orders including inspections, prioritization, triaging and scheduling through CMMS to ensure efficient action and close out within the service level agreements
Formulating detailed plans, specifications and service requirements for in-house activities, supplies maintenance and renovation projects outsourced/co-sourced
Liaise with the procurement dept to initiate timely procurement and finalization of requested supplies
Development/Supervision/implementation of preventive maintenance plan - Liaise with Director, account for feasibility dynamics and associated constraints, gain approvals, inspect maintenance work, ensure procedures and materials comply with all specifications, prepare contract documents and work instructions
Prepare tender documents including specifications, BOQ and IFT drawings, evaluate the submitted offers and prepare technical and financial reports for the tender committee
Managing the Space management activities - optimizing space utilization, planning space to meet business objectives, managing day-to-day organizational space assignments, advising end users on utilization improvements and planning options, assigning and managing staff relocation projects

Preparing reports on civil maintenance and construction work including issues, trends, faults, failures, asset condition, recommended improvements and performance against daily and periodic work schedules including input to daily work team review meetings
Manage contractor invoicing, quotations, and scope of works in line with any Facilities Management Agreement or Master Services Agreement in place through auditing, spot checks and other means
Manage multiple vendors including hard and soft skills to deliver services on time and within budget
Financial Management - Ensure that the site’s financial operations are meeting targets and control requirements
For reactive and preventative maintenance - Annual ground-up budget build or on an as-required basis, quarterly forecast variance reporting and cost control
Prepare business cases when required including justification, financial impact and recommendation
Maintaining detailed project documentation and database - ensure updated documents such as “as built, O&M Manuals, Testing and Commissioning Reports” drawings are submitted to the Archives and Mail unit at each project stage
Preparing reports on maintenance work and projects detailing the progress, backlog, service levels, adverse trends and appropriate recommendations and discussing the same with the department director
Ensuring that all the relevant facilities master data and related maintenance related information is updated in the university’s asset/facilities management system in an accurate and timely manner
Confirm that the Facility’s security and safety guidelines are followed Assisting compilation, review and updating of Activity Standards, Safe Work Procedures, Job Safety Analysis (JSAs) and associated inspection checklists to ensure that clear safety works are established

Coordinate the snagging of the finishing works and manage a successful handover to the consultant.
