• Prepare analyses of billing information to assist timekeepers in developing fee arrangement proposals
• Review and analyze client fee arrangements and Outside Counsel Billing Guidelines to ensure billing is set up accordingly
• Manage client set-up on appropriate electronic billing software including CounselLink and Serengeti
• Manage receivables for the Firm’s top shareholder attorneys and largest clients
• Analysis and collection of aged account receivables
• Preparation, analysis, and implementation of monthly and annual budgets
• Continual monitoring, identification, and resolution of rejected electronic submissions
• Consult with various colleagues regarding client account status, conflict checks, billing procedures, entry transfers, flat fee arrangements and new implementations for electronic billing
• Maintain multiple reporting schedules to provide up to date figures of monthly client account accruals
• Perform client account reconciliations on a matter level
• Review inactive client matters and determine if a particular matter should remain open or closed
• Work with the accounts receivable & collections departments to identify miscellaneous payments, past due balances, payment application, and account adjustments
• Review and analyze client account receivable, on account fees and aged work on a daily basis to minimize cash cycle
• Serve as backup Office Administrator
• Hire, train, and supervise Legal Intake Coordinator
• Assist in recruiting and on-boarding of all new hires
• Work closely with billing timekeepers to determine and implement client fee arrangements
• Travel to meet and train with high level clients
• Extensive client contact regarding solutions to ongoing billing issues
• Persistence and judgment used to manage various projects simultaneously
• Prepare for and attend trial and hearings, both in and out of state
• Attend and assist at marketing and attorney conferences
• Manage calendar, expenses, and travel for Managing Partner
• Coordinate and process phone calls, scheduling, and related communications, time management and follow up
• Manage flow, routing and filing of incoming documents and correspondence from clients, associates, and others; reviewed and determined appropriate action
