I work a weekend shift there every four to six weeks
I am trained to work in Starbucks, front end, style department, fulfillment and in the back

Office administrator also does all the filing, scanning, keeps track of GPS on the trucks to make sure they are working properly
When a new bid comes out I help with getting bid bonds
All railroad projects need to make sure they have BNSF and ERAIL completed and cards on them

This company is a railroad contractor that operates 24 hours a day 7 days a week
I am responsible for the daily billing of the jobs which include estimating the job as needed and submitting invoices to the specific client
Some clients have different contracts of the work preformed in the field
I have to ensure the billing is coded correctly before sending off to the specific client
Mainline uses HCSS for the field which is how we transfer the data from the field to the office
We also use Deltek Computer Ease for the accounting side where I can pull job costs and billed revenue for the jobs
On a day to day basis I am multi-tasking between phone calls, new jobs coming in, setting the jobs up, sending out emails, follow ups with current rentals or subs on the job.

Daily routines include but not limited to processing new hire paperwork
Helping the new hires understand the process while guiding them through all the new hire essentials
Running background checks and setting up the pre-employment drug screen
All new hires that decide to elect Health, Vision & Dental insurance I make sure to get that processed
Since we pay our employees weekly I am responsible for using our Heavy Jobs software to bring over the hours worked for the previous week and processing that in Computer Ease
From there once everything is ready I then send Payroll over to Deltek along with printing checks for any employee who is not set up for direct deposit
Each week I also have to make sure all Certified Payroll is submitted after our regular payroll is done
Monthly I obtain all receipts from any employee who has a company credit card to match receipts to statements and code the expense.
