I currently act as Secretary to the Central Operations Captain. I prepare correspondence independently utilizing a wide knowledge of vocabulary, grammar, and spelling to relieve the Central Operations Captain of routine tasks. I transcribe various memorandums and data from the Central Operations Captain including, but not limited to, administrative matters, investigative interviews, employee performance reports, and Letters of Instruction/Commendation. I screen and route all phone calls as well as all incoming and outgoing mail for the office. I respond to inquiries and act as the resource person for the Central Operations Captain's Office relative to contact with staff or outside agencies. I draft and type correspondence for the supervisors including employee performance evaluations, memorandums, work orders, monthly reports, and transfer packets. I coordinate with division heads to ensure monthly reports are generated and completed timely and accurately. I maintain computer tracking systems for Annual Performance Evaluations, Probationary Reports, Apprenticeship Reports, Monthly Reports, Quarterly Reports, Weekly Training, Gate Clearances, and Inmate Appeals. I maintain all filing systems for the Central Operations Captain's Office to ensure timely response of urgent correspondence.
I greeted visitors or callers daily to handle questions or direct to appropriate staff. I managed office paperwork, including scanning documents, and routing business correspondence. I organized files, developed spreadsheets, faxed reports and scanned documents to bolster organizational workflow. I offered diverse clerical support to office team members, including managing correspondence, answering telephone calls and tracking documentation. I updated databases with attendance data, verified changes in information and maintained 100% accuracy. I dispersed incoming mail to correct recipients throughout office. I received, set up, and evaluated student records, including updating student records with credits and grades. I assisted CPS workers, DPSS and Riverside County Office of Education Alternative Education Program with student records. I assisted the School Resource Deputy with necessary information to locate students not only within our district but also within other districts outside of California.
I directed clients and guests to correct departments, rooms and staff members. I answered multi-line telephone system and routed calls to appropriate personnel. I performed data entry and record keeping tasks to track company correspondence and updates. I created, updated, and maintained detailed documents, charts, and spreadsheets to sort company information. I followed confidentiality rules to preserve data quality and reduce potential information compromise.
I answered incoming questions via phone and email discussing advertised pricing and inventory. I developed proficiency with features of BDC CRM software to input and track communications. I conducted multi-channel communication with customer, including via email, phone, and website. I followed BDC scripts and guidelines for inbound and outbound calls. I maintained updated schedules of management and sales associates to assign interested customers with available employees.
I operated cash register, collected payments, and provided accurate change. I greeted guests with a pleasant smile and superior customer service.
