  • In conjunction with our donor management database software, prepared and entered gifts on a weekly basis into our Quickbooks Nonprofit Edition software for both restricted and unrestricted gifts, event and other sources of revenue. Communicated with donors to help them when necessary, take credit card donations and answer their questions. Maintained absolute discretion over donor data and personal information.
  • Collected and arranged financial information and entered transactions and journal entries into Quickbooks Nonprofit Edition software.
  • Processed all program expense and G&A expense payments, making sure documentation was proper and budget guidelines were followed. Maintained vendor files and resolved any payment questions. Prepared year end 1099 and 1096 forms and resolved any issues with numerous subcontractors. Maintained W9 files.
  • Maintained a very close watch on bank balances and future cash needs making the Executive Director and Board Treasurer and Board Chair aware of cash position on a scheduled basis. Maintained security over credit and debit cards and performed monthly reconciliations.
  • Prepared monthly financial reports, supporting schedules and an Executive Summary for presentation to the finance committee and board of directors.
  • Maintained the integrity of general ledger and chart of accounts.
  • In cooperation with Executive Director, FoDPL Board and DPL managers, created operating budgets and initiated financial planning. Reported quarterly on budget vs. actual variations and subsequent evaluations and variance analyses.
  • Reconciled all bank accounts and investment account balances monthly, making the required journal entries.
  • Coordinated directly with our independent audit firm for year-end financial audits and preparation of 990 tax return. Prepared all of their requested support schedules and provided data and answered questions for their examination.
  • Performed all of the Human Resources functions for payroll-related matters ensuring accurate compensation calculations for all employees. Administered IRA withholdings, deposits, communications, etc. Prepared quarterly 941 filings and annual W2 and W3 filings. Communicated with the Texas Employment Commission on any issues. Onboarded new hires.
  • Developed customized financial reports for various stakeholders to support strategic decision-making processes. Compiled ad-hoc reporting on an as-needed basis.
  • Trained on the donor database management software for entry investigation and back-up data entry.
  • Reviewed contracts and insurance policies from a financial perspective mitigating risk exposure while maximizing profitability opportunities.
