Managing the office operations for the Women, Infant and Children (WIC) Program in the Florida Department of Health (FDOH) Escambia County. I am currently supervise the Senior Clerical Supervisor, 2 Interviewing clerks, and 1 Health Support Technician. I am responsible for overseeing the WIC front desk operations. I am responsible for all of the purchasing of supplies and equipment for all WIC sites assuring all purchases meet state and federal guidelines and maintain documentation for all charges. These purchases are created in Ariba on Demand (AOD). I hold a State Purchasing card in which I use foe some purchasing. I create Blanket PO's for the WIC copiers at 2 sites, and Language Line Interpretation Services. I also maintain the Clinical Laboratory Improvement Amendments(CLIA) certificate for the WIC labs, this is renewed every 2 years. I manage the scale calibration for all WIC scales which is state and federally mandated and must be calibrated every year.
I have extensive use of computers utilizing word processing, creating spreadsheets and the Florida WIC Data system. I work directly under the Program Director. I supervise and coordinate the activities of clerical staff to ensure efficient, effective and uniform services for WIC participants and compliance with all state and federal guidelines. I adhere to all standards and protocols as set forth in the WIC manual DOH150-24, Florida's WIC Information System and EBT (FLWiSE) database Manual and other written protocols. I serve as backup for financial reporting guidelines ensuring WIC reports are documented and submitted according to WIC guidelines.
I am responsible for all supervisory duties including, but not limited to, hiring and selection in the FLHealth Ticketing system and Peoples First, developing performance plans, conducting performance evaluations, approving leave and taking disciplinary action as appropriate. Approving clerical staff timesheets.
Plan appointment schedules, coordinates leave schedules of clerical staff to ensure coverage for 2 WIC clinics. I handle any client complaints, or problems and followup with staff accordingly. I ensure clerical staff are trained and provided with any updates for the program and hold necessary trainings. I complete routine monitoring and audits of clerical staff and duties.
I maintain the inventories for WIC's Electronic Benefits Transfer (EBT) cards, Farmer's Market Nutrition Program (FMNP) coupons and special formula/medical foods. I also handle the quarterly handout ordering through our state office to ensure that staff have all necessary and required nutrition handouts and special formula/medical food prescriptions. I reconcile and returned formula from clients and dispose of it according to state and federal requirements. I am also responsible for all staff trainings for the Farmer's Market Nutrition Program.
I assist the Program Director with research projects for program planning. I am backup for the WIC Vendor Manager and also for the Outreach coordinator. I serve and backup to the clerk while servicing clients answering the phones and scheduling appointments.
I manage the clients that receive Directly Distributed formula or medical food from the WIC office. I order the product directly from the supplier, receive it and process the invoices and complies with the mandatory requirements.
I have responded to FDOH-Escambia special needs shelter as a Team Lead and have also gone of 3 deployments within the state after Hurricanes.
I assure compliance with current Department of Health securit policies bu fulfilling the Information Custodian responsibilities. I ensure staffs compliance with policies and procedures.
I create multiples reports, handouts, and spreadsheets using Excel, Word and Publisher.
I have completed White Belt and part 1 of the Yellow Belt Training.
Completed Office Security Training that was presented on behalf of the Capitol Police Crime Prevention Unit.
Completed Cybersecurity Awareness training that was presented on behalf of the Capitol Police Crime Prevention Unit.
Also completed multiples FDOH required and WIC required trainings.

I completed the WIC monthly financial reports (WIC, Breastfeeding Program, and Dietetic Internship). Reviewed FIS and FLAIR reports to ensure accuracy of charges, Made sure that all charges matched to the penny. Made sure that the Monthly Budget report was sent to State WIC office by the 12th of every month, per regulations.

I manage the scale calibration for all WIC scales which is state and federally mandated and must be calibrated every year. There were as many as 7 WIC clinic sites during this time frame that I also manged blanket PO's for all Utilities, Lease agreements, pest control, janitorial services and any other services that may be needed.

I completed audits of clerical staff on completing eligibly for potential WIC participants and made sure that all required documents were signed and uploaded into FLWiSE. Any findings were forwarded on to necessary supervisor's.

During this time WIC transitioned from paper checks to EBT cards. I attended a week long training in Tallahassee and then assisted all WIC staff in learning and implementing the new WIC data system and usage of EBT cards.
