Project Assistant Pupil Accounting/Registration

· Assist with all District’s Pupil Accounting (including all submissions, audits, reports, and others)

· Assist manager with internal audit and child accounting conferences with schools compiling information and preparing state reports. Compiling membership reports in MIStar and creating spreadsheets in Excel; conducting quality assurance operations on district student information database.

· Submits data to local ISD and state databases as deadlines approach

· Maintains accurate records to assist in grant processes that are reliant on state funding

· Maintain supporting documentation necessary for State reports

· Assist with audits of school data for compliance with State standards

· Assist with training for school-based personnel in the use of the information applications, including comprehensive training of new staff and keeping existing staff current with changes to the system

· Assists school-based personnel in implementing standards and operating procedures established for management of student data

· Conducts all student enrollment responsibilities (including new enrollments, drops, date entry, immunizations, UIC

numbers, transportation, food service and other as needed)

· Maintain process in district transfer request

· Conduct and produce weekly student enrollment date reports

· Oversight of the “Schools of Choice” program (including the creation, distribution and collection of application, communication both written and oral with SCO applicants, and working directly with the Central Administration when an SOC lottery is required.)

· Michigan Care Improvement Registry (MCIR) Site Administrator (Coordinate Immunization Exclusion Dates/notices etc.) Recommends policies, procedures and/or actions for the purpose of providing direction for meeting the district’s student management system’s needs

· Assist with the process and input data for district wide immunizations and visions screening s in MICR database while compiling information & preparing for state reporting deadline in which funding is affected.

· Assists school leadership with the data necessary to write and implement the school’s improvement plan and annual

reports

· Preparing & assist with correspondence to parents regarding student placements for choice, open enrollment, k-8

placements.

· Processing correspondence relating to active student enrollment verifications for parents, employers, medical Insurance companies, IRS, state agencies, & court but not limited to. All other duties assigned or requested by supervisor.

· Operate & conduct changes in MIStar for all student data changes: addresses, birth

· certificates and name change, phone numbers, census, school of choice, open enrollment

· & placement changes for administrative move, k-8, adoptions, guardianship, group homes, live with status, added immunizations.

· Assisting manager with training of temporary secretaries during peak times (summer registration). Training consists of preparation of training manual for data entry into MIStar & MCIR (statewide immunization program) as well as telephone etiquette (which consist of commonly asked questions along with answers); customer services and researching the student’s address on a map of the city of Southfield with the school boundaries that determines student placement.

· Assist with the interpreting, processing & conducting investigations pertaining to transcripts & student record

requests that relate to subpoenas, college, employment, court, probation, state agencies but not limited to.
