SUMMARY:
The position is responsible for directing, coordinating and overseeing all activities of the onsite guard staff, including all supervisory, training and operations functions at the assigned post in accordance with post orders and Board instructions,including following all internal procedures.

RESPONSIBILITIES: Those duties necessary to meet the minimum requirements of the position are outlined below. Other duties may be assigned:

• Under the direction of the Association General Manager, this position coordinates all aspects (technical and managerial) of executing the access control contract at the assigned location. Ensures proper fulfillment of terms of Access Control Contract with vendor.

• Conduct interviews, make recommendations for placement of guard staff and executes orientation and training including review of Post Orders, routine responsibilities, and how to respond to emergency situations.

• Responsible for making sure that the Post Orders Manual and all other post, training information, and fire/life/safety documents are being properly maintained and updated, and that the Post is being properly maintained, cleaned and organized.

• This position is the first direct supervisory contact for shift supervisors, regarding

performance, operations, emergency response activities, and department

needs. Responsible for evaluating the work performance of guard staff

and making recommendations regarding assignmentswith contract vendor.

• In field with guard staff for a minimum of three hours daily.

• Process email/phone messages at minimum, twice daily.

• Provide monthly statistics on property incidents to the Association General Manger

by the 25th of each month for inclusion in the monthly email communication to owners.

• Assists Association General Manager with special tasks as assigned; i.e., new projects of various Boards.

• Oversee the implementation of Access Control contract; reviews billing for contractual hours and gas usage. Reports any irregularities to General Manager for handling.

• Notifies Association General Manager of any potential liability in writing with

photograph(s).

• Liaison to guard staff and local law enforcement on any incident which may occur

on the property.

• Responds to calls relative to access control, transponders issues, contractor concerns

and any out of ordinary calls throughout the association and Club; responds and

handles difficult situations in Office or in the field.

• Responsible for securing additional staff and training staff when extra

coverage is needed for special events or external issues with contract vendor.

• Monitor radio traffic at post to ensure proper and timely guard response.

• Respond to minor incidents that occur, ensuring appropriate action is taken, all reports are properly completed, and appropriate parties are notified in a timely manner.

• Identify any personnel problems occurring at posts, such as payroll issues, employee relations complaints or other concerns and work to resolve as appropriate, or forward to Field Manager and/or Branch/Operations Manager as appropriate. May be responsible for assisting with an investigation, as requested by contract vendor. Completes monthly staffing report for Association General Manager by the 1st of the following month.

• Responsible for making recommendations for counseling and/or disciplinary action, including termination. May not make or initiate such decisions on his/her own, requires prior approval from Association General Manager.

• Distribute communications and other information to guard staff in a timely manner, as directed.

▪ First contact on site emergencies as they arise, with immediate communication to Association General Manager.

• Monitors and conducts inspections, with pictures when requested by association

staff. Assists staff in resolving compliance issues through voluntary compliance

when possible.

• Works with residents, owners and guests on issues of non-compliance and any

other association matter with reasonableness, tact and courtesy.

• Assists with large mailings on behalf of the association.

• Assists with walk in traffic in the association office.

• Attends Annual Meeting and Town Hall meeting of the association.
