Currently serve as Executive/Personal Assistant to the Executive Director of the Board at HIF Global, continuing a longstanding professional relationship that began during her tenure as CEO of Tellurian Inc. in August 2017 and transitioning over to HIF Global in February 2022. Providing seamless, high-level support across both professional and personal functions. Responsibilities include:


Professional


  • Executive Support: Report directly to the Executive Director of the Board, providing executive support in a one-on-one working relationship. Also support the CEO, CFO and CCO.
  • Travel Logistics: Book and coordinate all domestic and international travel for C-suite executives, including private charters, complex itineraries, visa arrangements, and comprehensive travel logistics to ensure smooth and efficient travel experiences.
  • Time Management: Oversee the organization and prioritization of calendars for the Principal, CEO, CFO, and CCO to optimize time management and productivity.
  • Event Management: Manage all aspects of special events, including large-scale conferences, speaking engagements, holiday parties, team-building activities, and other high-profile functions, ensuring seamless execution and alignment with organizational goals.
  • Point of Contact: Serve as the primary point of contact for Board Members, internal and external stakeholders, on all matters related to the Executive Director of the Board.
  • Administrative Tasks: Complete a broad range of administrative tasks for the Executive Director of the Board, including accurately tracking and submitting expense reports, composing and preparing confidential correspondence and compiling documents for meetings.
  • Schedule Management: Plan, coordinate, and ensure the Executive Director of the Board's schedule is followed and respected, acting as a "gatekeeper" and "gateway" to facilitate access to the Executive Director of the Board’s time and office.
  • Communication Bridge: Provide a bridge for smooth communication between the Executive Director of the Board’s office and internal departments, maintaining credibility, trust, and support with senior management.
  • Proactive Updates: Work closely with the Executive Director of the Board to keep her informed of upcoming commitments and responsibilities, following up as necessary.
  • Relationship Building: Provide leadership to build relationships crucial to organizational success and manage special projects for the Executive Director with potential organizational impact.
  • Project Management: Prioritize conflicting needs, handle matters expeditiously and proactively, and follow through on projects to successful completion, often under deadline pressures.
  • Backup Support: Provide backup support for the Founder & COO during their visits to the Houston office.


Personal

  • Travel Coordination: Book and manage all family vacations, using private or commercial airlines both domestically and internationally.
  • Property Management: Oversee the primary residence in Houston, Texas, and two additional properties in Colorado and Texas. Assist in managing several rental properties for the principal.
  • Vendor Coordination: Acquire and coordinate vendors and tradespeople for each property as needed. Provide access to vendors and supervise all repairs and installations.
  • Financial Management: Liaise with the family accountant to ensure all tax obligations are fulfilled and recorded. Reconcile monthly costs for each property, including bills, payments, and quotes.
  • Event Planning: Organize a range of events, from intimate gatherings to large-scale holiday and birthday parties, managing catering, hostesses, live entertainment, decorations, and necessary supplies.
  • Transportation Management: Oversee vehicle maintenance and arrange transportation for personal use. Coordinate private plane schedules, including departure, flight crews, and catering requests.
  • Administrative Support: Organize all mail and invoices for each residence. Set up and maintain payment systems.
  • Project Coordination: Meet with builders and interior designers as needed and manage household staff when required.

As an Executive Assistant at Frank's International, I provided comprehensive executive-level support to the CHRO of Global Human Resources and the Chief Financial Officer, with additional support to the Executive Leadership Team. Served as a key liaison between the CHRO of Global Human Resources, Executive Leadership Team, and Board of Directors, managing complex and frequently changing calendars and schedules. Coordinated domestic and international travel, organized pre-planning trip schedules, and administered business visa applications for regions including Africa, Asia, the Middle East, and India. In addition, prepared monthly expense reports to ensure accurate posting and tracking of reimbursements, planned and organized corporate events and meetings, and prepared and edited highly confidential correspondence and reports. Scheduled interviews with potential candidates and vendors, maintaining departmental organizational charts using Visio.

Team and Business Travel Coordinator

As Team & Business Travel Coordinator for the Houston Rockets, reported directly to the CFO and provided daily updates to the SVP of Basketball Operations. Primary objective was to oversee all travel arrangements for the NBA team, ensuring all travel was researched, negotiated, and booked accurately and cost-effectively while adhering to the organization's customer service standards. Managed business and personal travel arrangements for the team owner, coordinating logistics with private planes, FBOs, hotels, and drivers. Additionally, was responsible for organizing complex travel arrangements for large groups, including 150 passengers for pre-season games in Manila and Taipei in October 2013, and 130 passengers for games in Beijing and Guangzhou, China, in October 2010. This included handling passport renewals and visa applications for both business and tourist travel.

Managed all aspects of team travel logistics, including the team charter manifest, hotel rooming lists, in-flight catering, ground transportation, group tours, and meal arrangements. Traveled with the team to ensure the smooth operation of charter flights, liaise with flight crews, and guaranteed the team received the highest standard of service at each hotel. As an assistant to the Team Owner and CEO, I coordinated their international and domestic travel, aided in annual budget planning for team expenses, and served as the first point of contact for player transfers to and from Houston. Responsible for troubleshooting and resolving any travel-related issues that arose and stayed updated on airline rules, regulations, tariffs, and industry requirements to apply this information accurately. Successfully coordinated a road trip for 500 season ticket holders to Miami in 2006.
