Act as a liaison between campus employees and the public to coordinate activities; answer phones and screen calls; schedule appointments; provide general departmental information, documents, and forms.
Assist in departmental orientation and training of new classified staff, hourly, and student employees—interpersonal skills using tact, diplomacy, and courtesy. Handle situations with initiative and tact.
Compile reports and related analyses following established formats and procedures, collecting information from a variety of databases. Inputs and retrieves data and information from relevant computer applications and programs; prepares routine statistical reports.
Maintain and orders office inventory supplies and equipment; maintain storeroom.
Operate a variety of office equipment, including photocopier, calculator, and computer. Daily usage of the following software: Microsoft Office, CANVA BANNER and SARS. Updates social media. Updates websites as needed.
Assist in the preparation of the department budgets, distributing monthly expenditures, maintaining expenditure reports, and processing balance transfer requests as needed.
Prepare and file departmental forms and documents, such as memoranda, exams, class outlines, reports, schedules, and letters; uses established filing systems.
Process invoices and maintains running balance of monies. Receive, classifies, reconciles, interprets, consolidates, and/or summarizes documents and information.
Develop schedules related to division/department activities and services; maintain calendars and coordinate committee and other meetings; review, updates and informs the administrator and others of essential timelines; attend meetings related to assigned division; take and prepare minutes as assigned; disseminate information as appropriate.
Assist with equity program/event coordination, set up, advertisement and presentations. Represents Student Services at various meetings as requested and serves on campus committees as assigned.
May prepare a variety of documents for publications and marketing pieces including brochures, flyers, event programs, and related materials.
Perform a wide variety of difficult and specialized clerical and technical work in the operation of an assigned program.
Work confidentially with discretion and independently with little direction.
Coordinate and make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences.
Coordinates faculty evaluation process.
Assist Dean with student complaints and/or conduct process.
Serve or represent division on a variety of district committees as requested.
Support the college work of the Dean with preparation of agendas, minutes, and other assignment materials related to meetings, committees, or other college meetings.
Ability to read and interpret federal and state grant guidelines.
Maintain program attendance records and assist the Program Manager with collecting required program data for reporting requirements. Fill in for Program Leaders when substitutes are not
available.
Maintain records of participants’ progress and assist in completing project reports as necessary; communicate with parents, teachers, community education partners, and others to
provide information on program activities, student progress, or related concerns.
Monitor hallways and adjacent areas to ensure appropriate behavior and eliminate potential
safety hazards, oversee and coordinate indoor and outdoor play activities, enforce indoor and outdoor safety rules; mediate disputes and reinforce appropriate student conduct. Have knowledge of developmentally appropriate practices.
Coordinate and assist in cleaning up activity areas, facility, and other light custodial duties.
Conduct needs and year-end assessments for assigned program site and assist the Program Manager
in maintaining records and reports related to site programs and activities.
Maintain appropriate inventory and distribution of supplies on site and provide inventory lists to the Program Manager.
Participate in ongoing professional development and attend staff meetings, training, and workshops as required.
Oversee and or handle first aid and home contacts when necessary.
