  • While working independently, I perform the following tasks: Sort mail, open and image mail received, set a task for the assigned worker, index all documents, confirm the images are in Calsaws software program, send mail to workers daily in a transmittal. Log in forwarded mail from the mailrooms, image the mail and send it back to the mailroom for storage. Locate documents workers request and image them. Distribute all checks and applications received via mail to appropriate DESS employees. Update our unit's Intake Roster. Prepare files to be history imaged, update them in Versatile, image documents and upload the imaged document into Versatile. Retrieve requested case files (often confidential) from warehouse, check them out in Versatile, provide them to requesting employee. Check in requested case files being returned and return the files to warehouse. Double check IHSS boxes, confirm correct information is in Versatile and images are correct, send boxes for destruction. Create IHSS files in versatile. Send requested files and boxes to worker requesting IHSS documents. Create labels for label and folder requests from workers, check them out to worker requesting them, send the labels and folders to workers. As a Senior in the unit I am responsible for handling all confidential mail. Emailing Eligibility supervisors and staff to make sure certain documents are okay to be imaged. Image Accounts Receivable mail and Foster Care Statements. Update our units reference sheet. Update our procedures for the unit to ensure they are current. Create procedures for the unit. Update I&R files to be destroyed. Order requested case files and boxes from offsite storage facility. Order boxes from our offsite storage facility to be history imaged. Make files current. Schedule shred pallet pick up with our offsite storage facility. Review work orders sent from offsite storage facility, track work orders in Excel. Review invoices to ensure accuracy of billing. Log in files and boxes being requested in the unit's storage tally. Log any boxes being created and sent to offsite storage facility. Create new boxes in versatile and in our offsite storage facilities website. Scan in all work orders from offsite storage facility, Track and log daily assignment. Confirm that turned in history imaged box reports are correct in Versatile and that the history box can be destroyed. In addition to the daily responsibilities outlined above, I train employees in our unit on our programs and daily tasks. I double check employees tasks they are being trained on to ensure accuracy. I shadow employees after training to ensure they are doing their tasks accurately. Coordinate work with other employees in the unit. Create daily assignment email each day. I fill in at our payroll unit when needed. My duties include answering phone calls and transferring them to the correct department or person, create supply orders, schedule interviews, check in interview candidates on interview days, creating packets, emailing employees and supervisors to set up Job Shadow requests, sort through transmittals and deliver to correct mailbox, help any clients that come up to the reception desk.

I supervised 7 staff members, reviewed and approved staff member's timecards in Workday, communicated with our Payroll unit anytime there was a timecard correction for an employee, I corrected employee's timecards anytime Payroll reached out via email, created the unit's weekly schedule, created the unit's monthly unit roster, created the unit's Work Assignment Chart, created PCN's for employee's leaving and joining the unit, created employee's performance evaluations in Workday and presented to employee, organized our unit's monthly unit meeting, attended monthly support supervisor meetings, had one-on-one meetings with each employee once a month, created monthly KPI charts, trained staff on all processes and procedures, ensured all work is being done accurately and timely, filled out quality assurance feedback forms and reviewed them with employee each month, updated our unit's procedures, I sat in on an interview panel and interviewed candidates, reviewed work orders sent from offsite storage facility, tracked work orders in Excel, reviewed invoices to ensure accuracy of billing, approved invoices and created a claim form, ensured all of our unit emails are being responded to in a timely manner, communicated with our storage and shred vendor, communicated with other units and staff members, tracked employee's work throughout the month, filled out incident reports, I have knowledge with Versatile, CalSAWS, Workday, Outlook, Excel, Microsoft Word, Filebridge, I added in appointments on the Support Supervisors Outlook Calendar, I set goals for myself and my staff members to ensure all work was getting done in a timely manner, updated attendance logs for each employee, updated employee notes as needed. I was out on the floor every day to ensure all work was getting done and to check on employees. I stepped in when needed and helped with imaging in our regular mail and return mail, I answered any questions employees had. If I had any questions, I never hesitated to reach out to my Program Manager or another Support Services Supervisor to ensure I was doing my job correctly.
