Duties:

1. Management & Final Accounts

  • Sales & expenses—consolidation of regional sales
  • Compilation of head office expenses
  • Consolidation of head office and regional expenses
  • Regional profit and loss accounts—checking and monitoring regional expenses Checking and consolidation of regional profit and loss accounts
  • Preparation of monthly and yearly management and final accounts
  • Preparation of monthly financial statements as well as year-end financial statements for external users

2. Suppliers/Creditors & Customers/Debtors Management

  • Suppliers- accounts payable (creditors)- managing and updating supplier's accounts and reconciling them
  • Receiving stock in the system and raising purchase orders
  • Managing and updating suppliers' accounts and reconciling them
  • Computing product costs
  • Prepayments—checking and monitoring all regional prepayment accounts and balances (for fuel customers and expenses)
  • Performing age analysis of all debtors and prepayments (clients)

3. Budgets

  • Checking monthly regional budgets and having them authorized before being funded
  • Preparation of head office budget for the upcoming month
  • Analyzing budgets and incurred expenses and implementation of cost-cutting measures where appropriate.

4. Assets & projects

  • Fixed assets—maintaining and updating the company asset register as to the company's asset policy
  • Compiling fixed assets additions month on month
  • Reconciling and checking regions asset register returns
  • Computing accumulated and monthly depreciation expenses for assets and determining their net book value
  • Compilation of project expenditure and recognition of amounts which should be capitalized to the financial statements as non-current assets
  • Recognition of rights of use arising from some projects in relation to construction of fuel service stations where the organization is a lessee
  • Identify work-in-progress value rising from embarked projects
  • Analyzing finished project contract terms between the organization and third parties to determine accounting treatment. This would include:
  • Concluding on whether the project is a joint venture
  • If there is other income arising from the completed project in the course of its operation
  • If the final project should be capitalized or amortized as a repair and maintenance expenses over the lifetime of the lease contract

5. Regional supervision

  • Regional supervision of the Midlands and Matabeleland region with an estimate of 13 fuel stations
  • Carrying out audit visitations at intervals for checking of implementation of accounting systems within region
  • Following up on findings within the internal audit operations report for regions. This would include determining appropriate actions to take to minimize risks identified by the audit function

6. Other:

  • Compiling and submitting acquittals for product (petrol & diesel) and other international payments made to acquire plant & machinery like underground fuel tanks or fuel pumps.
  • Analyzing other income arising from joint ventures, related party transactions, rentals from tenants, lubricants and disposal of assets
  • Checking of inventory reconciliations with the logistics, as well as the process of compiling cost of sales for errors
  • Analyzing final management accounts of the organization authorized by the finance officer to be used externally (e.g., by banks) to determine if they are a true representation of the organization's position
  • Checking of loan balances and interest paid
  • Checking and supervision of cash revenue and expenses—ensuring that requisitions are being properly raised, authorized invoices are being attached (where possible), tax clearances certificates are available and valid, receipts are being properly completed and the cash flow is balancing and up-to-date
  • Donations—Updating and maintaining the donations ledgers for scholarships, sports and other activities the organization support financially in its aim to become a social and responsible corporate
  • Preparation of the directors’ current accounts
  • Parent company to Glow petroleum (Fuel Company), HOC (House of Chinhara) - Hotel industry, African Myth Mines (mining industry), And other companies in Agriculture and Real Estate to mention but a few
  • Managed accounts payable and receivable processes ensuring timely updates and accuracy.
  • Assisted in preparing financial statements, enhancing reporting consistency and reliability.
  • Conducted reconciliations for various accounts, maintaining precise financial records.
  • Supported month-end closing activities by compiling necessary documentation and reports.
  • Analyzed transaction data to identify discrepancies, contributing to improved financial accuracy.
