•Maintains the electronic timekeeping system & scheduling system and records staffing assignments and changes.
•Assists with data collection for reporting on financial indicators and staffing-related data.
•Works collaboratively with unit leadership to facilitate staffing changes to minimize the negative financial impact. May be required to make staffing changes with minimal supervision.
•Creates monthly schedules for assigned units.
•Accepts absence calls (or retrieves voicemail messages) from staff in assigned units and ensures documenting of absences in the appropriate systems. Takes appropriate action for absence calls, including but not limited to, identifying replacement coverage, floating of staff, calling per-diems, etc.
•Prepares and distributes reports as needed or requested to appropriate unit leadership. This includes reports for staff meetings, meeting minutes and special research reports.
•Handles general office duties including: answers staffing phone and addresses calls effectively; collects and distributes mail; schedules & posts notice of staff meetings; orders & maintains office supplies; submits maintenance work orders and processes key requests; oversees Centralized Resource Pool sign-in roster; updates resource binders; and, maintains bulletin boards.
•Coordinate, plans, organizes, and implements sustainable staffing and scheduling strategy. Develop work schedules and allocate employees to different duties and/or shifts.
•Serves as a resource person to staff and management with regard to scheduling issues and will also recommend process changes as needed.
•Utilizes the system-wide staffing software to manipulate schedules and planned staffing for units.
•Reviews current staffing levels as compared to actual projected volume and staffing needs as predicted by units.
•Works with payroll department as needed in escalated matters relating to the time and attendance system and timekeeping
