Department Clerk

I transitioned into a promotion within the general, plastic and vascular surgery department from being a clinic clerk to department clerk after being recognized by administration as a key person who is able to handle complex situations and patients, helping with overall operations within the department


Key Achievements:


* On boarded as department clerk within one of the most complex departments: general, vascular, and plastic surgery. I was given the task of self teaching to gain understanding of the role as the former department clerk left Kaiser before training me.

* While training myself for the position, I was able to collaborate with other department clerks to figure out how I could improve different aspects of the department, making work flow more manageable for department administrators, our surgeons, medical professionals, and staff.

* Reduced back log of surgeons waiting on new devices they requested such as laptops and iPhones.

* Drafted messaging showing clinical need by way of medical journals proving lead shin guards are a necessity ; the shin guards weren't currently being used within the Kaiser system. This messaging was accepted and approved by Kaiser to purchase the shin guards for the vascular surgeons who were increasingly concerned about scatter radiation.


Job Duties:


* Planning, arranging, and organizing complex moves within the department. For example, if a new surgeon is onboarded space needs to be found for the provider which sometimes means moving other providers around within their current clinic or moving them to one of the other locations our department operates out of.

* Getting dimensions for and ordering medical furniture such as exam beds and desks.

* Ordering medical supplies as requested by surgeons, PA's and other medical providers.

* Ordering office supplies for all 5 locations as needed.

* Supporting 120 staff, along with 50 surgeons in all three departments with any and all human resources needs such as FMLA, leaves of absence , and pay rate concerns.

* Payroll biweekly for all staff and surgeons.

* Vacation and other time off approvals for all staff and surgeons.

* Travel arrangements for surgeons.

* Keep up with surgeons licensing and credentialing.

* Expense reports for all 3 chiefs and all administration within the department.

* Prepare agendas for meetings.

* Set up all technology in conference rooms for the surgeons monthly meetings.

* Maintain confidential employee files and information.

* Work on making time within the surgeons clinic and operating room time so that they can attend meetings and interviews.

* Arrange interviews for new surgeons, and work with candidates on travel accomodations.

* Work under minimal supervision problem solving any departmental issues that may arise including but not limited to technology, training staff, and finding venues for meetings.


Clinic Clerk

I accepted a position within the general, vascular and plastic surgery department as a clinic clerk shortly after gaining my bachelors degree in healthcare administration. In this position I primarily supported plastic and bariatric surgeons however helped with the general and vascular surgeons as needed.


Key Achievements:


* Immediately upon hire, communicated with surgeons I was assigned to so that we could discuss what has been working, and what may no longer be best practices as it pertains to their schedule. This positively changed work flow and patients were then scheduled in a way that was not a strain on the patient, or provider.

* Worked with providers to change entire schedule template making sure the new work flow didn't create any access issues.

* Schedule patients surgeries

* Schedule all pre op, and post op appointments.

* Respond to and or screen patient messages for providers

* Answer and screen phone calls from the emergency department when they needed to speak with the on duty plastic surgeon.

After starting with Kaiser as a contingent worker in the call center for internal medicine, I was promoted to team lead in the psychiatry call center.


Key Achievements:


* Created messaging for call center agents who had difficulties communicating with patients who called in a crisis.

* Put together a committee that helped support staff and help them operate fully within an intense environment. The committee was there to talk with employees who needed, and also set up fun events such as different games and lunches to boost team morale.
