I am working at Bellingham Marine Industries as Admin. Assistant to Office Manager while BMI merges South West division with North West division. I was asked to return to help during transition of the merger. Current duties are as described below at BMI.
Responsible for assisting the Office Manager and Contract Administrator with various tasks as needed for the SW division. Create and maintain project documentation, inventory documentation, scheduling of temporary employees, assist with Payroll, Human Resources, invoicing for Accounts Payable and Accounts Receivable, communicate with Project Managers and Superintendents at their job sites, as well as daily office tasks such as mail, answering phones, scanning and routing internal documents, order office supplies, scheduling drug screening in coordination with the Human Resources Department along with other tasks requiring problem solving, technical skills and customer service.
*Serve as first point of contact for families and public to the organization which includes face to face as well as answering phones and emails that come to the general mailbox
*Sorting and distributing mail
*Perform general administrative support such as: filing, documenting, organizing and maintaining students records and files
*Coordinate with and support teacher and other staff within Neighborhood Christian School
*Purchase office supplies and keep storage room stocked and organized
*Prepare for meetings by printing agendas, minutes, and other documents
*Manage office equipment supplies: including computers, phones, and printers and seeking professional support when needed
*Updating and maintaining FACTS payment system
*Updating, managing, and maintaining Brightwheel student management system
*Tracking of donations and preparing end of year statements and thank you letters
*Assist with scheduling of tours and field trips
*Maintaining master schedule of campus events
*Managing coordination of special campus events logistics
*Assist with weekly electronic and print newsletters
