Team Leadership & Operations:
- Lead a team of six treatment coordinators across four office locations, ensuring smooth daily operations and consistent patient experience.
- Oversee scheduling for all treatment coordinators to optimize provider productivity and resource allocation.
- Track, analyze, and report on new patient conversion rates and department performance metrics to support production goals.
- Monitor patient production columns to ensure sufficient exam volume each month; adjust scheduling and staffing strategies proactively.
- Audit and correct employee timecards across all locations to ensure payroll accuracy and compliance with HR standards.
- Conduct monthly one-on-one meetings with each treatment coordinator to provide mentorship, address challenges, review performance, and support professional development.
- Provide treatment coordinator consulting services in collaboration with Dr. Christopher, including training visiting TCs from other practices and offering ongoing mentorship and performance support remotely.
Patient Care & Treatment Coordination:
- Greet and welcome new patients, providing a warm and professional first point of contact for the orthodontic practice.
- Educate patients and families on orthodontic treatment options, procedures, timelines, and expectations.
- Present customized treatment plans in collaboration with the orthodontist after clinical evaluation.
- Review and explain financial options, insurance coverage, payment plans, and office policies.
- Build trust and rapport with patients to encourage case acceptance and ensure patient satisfaction.
- Schedule new patient exams, consultation appointments, and follow-ups to ensure timely treatment progression.
- Obtain and manage diagnostic records, including digital x-rays, photos, and intraoral scans.
- Maintain accurate documentation of treatment plans, financial agreements, and patient interactions.
- Follow up with patients who are pending treatment or have not scheduled, to improve conversion rates.
- Act as a liaison between patients, orthodontists, and referring dental professionals to ensure coordinated care.
- Support front office operations by verifying insurance benefits, submitting pre-authorizations, and collecting payments.
- Ensure a smooth hand-off to clinical staff for treatment initiation and monitor progress as needed.
- Participate in team meetings and contribute to practice growth through process improvements and patient experience initiatives.
