Answer phones for the department and assist in resolving the issues or concerns or getting the caller to the right individual
Enter requisitions, PO receivers, Change orders, Budget adjustments, Request for checks, Time Entry, Personnel Actions, maintain budget for entire section, Facilities work orders, and other functions in MUNIS
Assist the Administrator with writing memos, generating reports as needed, taking meeting minutes and any other correspondence as needed
Assist the Administrator in managing the office, making sure tasks are assigned properly, make sure all areas have adequate coverage and prepare various special and recurring reports
Meet with staff regularly to review work in progress, discuss and resolve any issues staff may have
Order supplies and materials as needed
Make travel arrangements and submit travel paperwork as needed
Plan, schedule and coordinate the maintenance, repair, and/or remodeling of City-owned and City leased buildings
Coordinate with building maintenance staff that involves HVAC, plumbing, electrical, custodial, carpentry, etc.
Enter work orders for all required building maintenance in City owned and City leased buildings
Maintain yearly inspections of fire extinguishers, building inspections, centralized key systems, etc.
Maintain M.S.D.S material safety data sheets for the Facilities Department
Participate routine capital improvement projects, gather specs and material cost estimates for building projects
