Worked alongside an attorney who managed Florida state civil and intellectual property cases and federal intellectual property cases. Began with little knowledge of the law field and quickly excelled in my role as an assistant to my attorney with over 600 federal cases, as well as 15+ state cases assigned to her. Managed a high-volume workload while maintaining strict attention to detail on every task. Used exceptional time management skills to direct not only my daily tasks but those of my attorney and fellow team members that aided in the federal case load. Worked professionally and kindly with others to support a productive and enjoyable environment. Federal cases were filed in multiple states including Florida, Washington, California, Texas, Colorado, Wisconsin, and Illinois. This also required me to serve as a partial legal assistant to the local counsels of those additional states who worked alongside my attorney. Daily/weekly tasks of my role as a legal assistant included:
- Organizing documents to manage case information such as court orders, responses from Defendants, deadlines, judges rules, and local rules for multiple state districts.
- Aided in training multiple new members to the "Intellectual Property team" in the office. Provided valuable training in drafting common documents needed such as Motions for clerks default, Notices of settlement, and proposed Orders. Also trained in saving court service emails, filing documents contained in emails, and conducting phone calls with Defendants, clients, and other counsels.
- Assisted in overseeing and guiding other coworkers in training by assigning, reviewing, organizing, and filing documents drafted by them.
- Prepared and drafted correspondence and legal forms to maintain smooth communications between attorney and opposing counsel, court clerks, and local counsel.
- Completed multiple electronic filings on behalf of the attorney and local counsels daily.
- Managed and organized attorneys calendar daily, this was also shared with local counsel. Reviewing daily, weekly, and monthly deadlines, and scheduled events such as hearings, depositions or teleconferences. Gathering important information needed such as addresses, times and time zone differences for cases in other states, and necessary documents to be drafted or filed for events, then adding informative notes to calendar for the attorney and local counsel to be able to review quickly and efficiently.
- Scheduling and calendaring phone conferences between the attorney, local counsel and Defendants, which included calculating different time zones. Gathering Defendant contact information as well as providing Defendant with general information regarding the nature of the complaint/case.
- Attended remote court hearings and depositions to take notes and document proceedings.
- Reduced errors in court filings by meticulously proofreading documents for accuracy before submission.
- Coordinated logistics for trials or hearings by booking travel for attorney including airplane tickets, car rental, and hotel stays.
- Produced legal documents such as Motions for default final judgment, requests for extensions of time, responses to Motions, responses to Orders to show cause, Notices, complaints and the supporting documents, and many more.
- Drafted accurate and persuasive legal correspondence on behalf of the attorney, contributing to successful negotiations and settlements.
- Maintained strict confidentiality, protecting sensitive client and Defendant information as required by legal ethics and regulations.
- Communicated pertinent information to clients, opposing counsel, Defendants, and Court via phone, email, and mail.
- Prepared for court hearings by organizing and summarizing documents, preparing necessary documents and provided attorney and local counsels with additional information such as notes regarding contact efforts or conversation made with Defendants in regards to attempting to settle or finalizing settlement.
- Proposed and often times helped implement multiple process improvements for better efficiency in handling caseloads, organizing deadlines, minimizing document and calendaring errors, and ensuring timely completion of tasks.
- Monitored changes in relevant laws and rules/procedures for multiple states to stay up to date and provide legal updates to other members of the team.
- Coordinated with court personnel and attorneys to determine scheduling of hearings and filing documents.
