  • In charge of the administrative management of the office, my duties included but not limited to: Administrative management: responsible of receiving and dispatching incoming mails; draft correspondences for final signature of the Special Rep; when needed translated non-technical documents from French to English and vice versa; established filing system for the office documents; responsible of supervising office contracts (lease, security services, building maintenance, consultants etc.) under the guidance of the HAF, put into place an adequate procurement guidelines based on the reality of the location since the office couldn’t properly follow purchase guidelines from the HQ (acceptable tender code, receiving good and services, study and follow-up on the bid analysis)
  • Assisted with the organization of meetings and workshops organized by the office; participated in high political meeting for note taking
  • Acted as POC for the office in area related to HR (submission of local staff allocation payment requests and follow-up on other issues), vendors relations, information on activities; prepared travel vouchers, proceeded to hotels and flight bookings for official travel; supervised the support team comprised of 3 drivers, an office aid, and a receptionist as well as the security and maintenance personnel hired through a contractor
  • Prepared local staff monthly time and attendance sheet for internal use; and kept an up-to-date file on leave balance and personnel information
