· Takes minutes at Commission and Mentor Kansas Advisory Council meetings as well as other external meetings;
· Develops agenda, with Executive Director input, and takes minutes at weekly team meetings;
· Schedules the Kansas National Service Council, which meets quarterly and includes representation from all streams of national service (AmeriCorps, NCCC, VISTA, AmeriCorps Seniors);
· Maintains all equipment purchased with Commission funds;
· Serves as content editor backup for the Commission website;
· Serves as backup to Financial Specialist to develop and prepare KSDE purchase authorizations forms and contracts, and submits in KAMS;
· Serves as backup to Financial Specialist to coordinate staff travel needs upon request, including transportation, lodging, and per diem arrangements;
· Maintains and updates Constant Contact and Mentor Kansas databases;
· Updates the Commission’s Google calendar monthly;
· Updates the Commission’s Google Map monthly with subgrantees and partner programs;
· Assists with the annual Give Back Kansas Challenge, including: updating materials, compiling weekly volunteer hours, and maintaining leaderboard;
· Organizes the AmeriCorps Kansas Member welcome packets, including: procuring supplies, maintaining registration list, and mailing welcome packets within first month of service;
· Supports the Kansas Association of Volunteer Engagers, AmeriCorps and Mentor Kansas Basecamp groups by providing technical support to new users and adding calendar dates; and
· Identifies volunteerism, mentoring and civic engagement resources, toolkits, publications, and best practices to share with partners via website, newsletter and Basecamp groups.
Serves as project manager for all Commission meetings, conferences, workshops, webinars and special projects, which may include:
· (Virtual events) Coordinates zoom set-up, develops registration materials, maintains registration database and attendance list, procures supplies and meeting materials, shares recordings and sends invoices; and
· (In-person events) Locates and identifies meeting sites and coordinates set-up, orders meals/refreshments, develops registration materials, maintains registration database and attendance list, procures supplies and meeting materials, and sends invoices.
Participates in Kansas Volunteer Commission activities that support the state service plan.
· Attends Kansas Volunteer Commission bi-monthly meetings;
· Participates in Kansas Volunteer Commission committees;
· Assists in the development and implementation of the Kansas State Service Plan; and
· Assists the Kansas Volunteer Commission group in conducting and evaluating statewide events.
