Provide comprehensive administrative support to the Director and specialists within the Nutrition Education Program (NEP) department, contributing to efficient operations across Cooperative Extension offices. Coordinate purchasing and reimbursement processes for SNAP-Ed and EFNEP grants, ensuring accurate and timely financial recordkeeping. Manage calendars for department leadership, meetings, and program activities, ensuring optimal scheduling and communication. Serve as a trained resource in Concur to support travel planning and ProCard reconciliation, particularly for the Director. Utilize SAP to place and confirm orders, maintaining organized and detailed records for monthly reconciliation and audit purposes. Oversee inventory of office supplies and facilitate the distribution of program materials and reinforcements across Extension sites. Develop templates for performance evaluations, food demonstration invoices, and other internal documents to streamline departmental processes. Help prepare SNAP-Ed and EFNEP Food Demonstration Reimbursements using Payment Request, Purchase Orders, and Reverse Purchase Orders. I help create Shopping Carts and Confirm on Goods Received. I keep all documents secure and uploaded into OneDrive. I have used and properly documented ProCard Vouchers. I assist office staff with various projects regarding different programming. I ensure that the receipts are disbursed to their processor in a timely manner. I helped prepare resources for the training, State Staff Meetings, and Annual Conference. I record and upload notes for the State Staff meetings, and as well with the Finance Team Meetings. I utilize EZCater to order lunch for Area Agents’ Staff meetings. I create invoices for each County with their correct Remit Address. I keep an organized inventory of supplies and UK Gear in the office. I can order from Amazon when appropriate. I share data about computer equipment inventories with Campus. I utilize reports to send allocation balances to vendors. Assist office staff, ensuring all reports are submitted on a timely basis. This includes helping prepare reimbursements for payment and communicating with county extension offices regarding the status of their reimbursements. I also assist the State staff with duties needed to facilitate their jobs. For example, printing newsletters and preparing them for distribution to the NEP audience. I helped prepare for the NEP annual meeting and registered participants. I helped organize and prepare the office for moving to a new location.
