  • I have assisted in completing annual inventories of the warehouse to include item counts and physical location audits.
  • During physical inventory I have assisted in locating parts, ensuring that the correct part numbers, internal item numbers, manufacturer and item names are present.
  • I also confirm that the item is stored correctly and packaged properly to minimize physical damage.
  • When issuing any material from the warehouse, I conduct a spot check of inventory stock to ensure that the quantity listed in the inventory records match both prior to issuing the material and after.
  • If there is any type of discrepancy noted, I notify the warehouse Supervisor that inventory quantities do not match what is physically in the location.
  • Although reconciliation is conducted by the warehouse lead or supervisor, I understand that inventory losses can be attributed to theft, obsolete merchandise or damage.
  • Any of these would require justification as to why we had a loss and why inventory counts had to be adjusted without parts being issued to a specific task or job.
  • When losses occur in the inventory, an adjustment needs to be made to the inventory and a reason such as damage or theft identified in the inventory record to keep track of expenditures.

  • This includes receiving the material from shippers/ vendors and checking bills of lading against Purchase Orders to ensure that that items received match the items ordered including the correct quantities, units of issue, part number and prices.
  • After receiving the items, I will look them up in our Computerized Maintenance Management and Inventory System, determine their proper storage location and update the inventory records to reflect the new quantity and cost.
  • When issuing materials, I ensure that technicians have the correct item and work order to assign the material against.
  • I also verify quantity of stock left on the shelf to confirm it matches the stated quantity of the inventory after issuing the material.
  • When issuing items against work orders, I check these levels prior to issuing material and again after.
  • This allows me to identify when a particular part falls below minimum stocking levels.
  • In the case of receiving parts, this allows me to identify if we have exceeded maximum stocking levels.
  • As I am either receiving or issuing items, I observe these levels so that I can inform my supervisor if we drop below or above these levels.
  • Although the inventory management system tracks this, I keep track so that I can inform my supervisor before the inventory records generate.
  • The minimum/maximum levels are set by the technicians who use that particular part or piece of equipment and are based on factors such as cost, vendor or supplier lead time, historical usage, forecasted usage and turn-over rates.
  • This allows for the warehouse to have the right part in the right quantity on hand at the right time.
  • It also allows for a safety level of stocked items for unforeseen spikes in demand or emergency situations.
  • When receiving or issuing items, I will check everything associated with the item including part number, manufacturer, stated quantities and proper location.
  • If anything is inaccurate, I will update the inventory record adjusting and correcting any discrepancies noted.
  • Most new inventory items are created either by the requestor or department and verified to ensure that the inventory record is complete except for consumable items which are completed by warehouse staff.
  • This includes part numbers, vendor information, price, unit of issue, vendor lead time and minimum and maximum levels.
  • All information is reviewed for accuracy and the new item record is created.
  • After initial stocking, the automated stock and inventory records generate resupply requisitions based on the minimum and maximum levels established when the record was created.
  • This takes into account the lead time.
