Executive Legal Assistant II

  • Provided legal administrative support to the Senior Vice President of Law and and to the Vice President, Deputy General Counsel, Mergers & Acquisitions along with the Deputy General Counsel, Labor and Employment, along with eight additional Senior Counsel.
  • Duties included answering telephones, scheduling all meetings and conference calls through Microsoft Outlook, including catering and audio/video as needed; scheduling of travel arrangements and all meeting logistics; processing invoices; updating and maintaining professional subscriptions; importing time weekly into SAP for all timekeepers; preparing expense reports; reconciling all flex card monthly charges for each department employee; analyzing data; creating SAP purchase order requisitions; maintaining/ordering all office supplies for the Legal Department; maintaining all state bar dues for each attorney; handling confidential records and information; compiling legal filings and/or pleadings for submission; tracking deadlines; maintaining two separate filing systems; organizing complex filings; daily indexing and maintaining all filings; creating WBS numbers in e-counsel; tracking of legal invoices for each matter and preparing monthly reports; creating and preparing Power Point presentations for inclusion in Dominion Energy Services, Inc. board meeting when needed.
  • Oversaw and was solely responsible for distribution of all legal invoices from outside counsel law and coordinated approval and payment process for such.
  • Served on Dominion's legal billing committee that was in charge of researching new billing software to replace e-Counsel for Dominion's Legal Department. This process was very detailed and complex.
  • Compiled and finalized all information for Dominion's Legal Department's Monthly Report requested by Senior Vice President of Law.
  • Oversaw the hiring of all new administrative support within the Legal Department of Dominion Energy Services, Inc. Duties included, but not limited to, selecting applicants who were deemed qualified; scheduling and attending such interviews; submitting offers and once accepted, scheduling training relevant to their position.
  • Responsible for processing all new employee set up requests, including hardware/software requests through IT, badge background and clearance requests through Security, along with the delegation of email and phone number assigned to each new employee. In addition, was responsible for following up with each new employee on a weekly basis during the first 90 (ninety) days of employment ensuring a smooth transition to the Legal Department.
  • Was solely in charge of Dominion's “IGNITE” Pilot Program. Duties included drafting, finalizing and assembling all literature for employees who were chosen to be part of such program, along with all logistics such as meeting venue, seating arrangements, food, purchasing of all promotional gifts and/or materials within our budget. Supervised other employees by delegating tasks as needed and following up with them to ensure the success of such program.
