Special Projects Coordinator III

• Prepares, processes, and monitors the official agendas for the Brevard County Planning & Zoning/Local Planning Agency (LPA) Board, County Commission Zoning, Board of Adjustment (BOA), Building Construction Advisory Committee (BCAC), Port St. John (PSJ) Dependent Special District, North Merritt Island (NMI) Dependent Special District and the Contractor Licensing Board meetings.
• Coordinates with other Departments, outside agencies, the County Manager’s Office, the County Attorney’s Office, the Clerk to the Board, and the Board of County Commissioners to ensure that agenda items have been submitted properly into the electronic agenda system and have received the required approvals and posts the approved agendas to the County’s internal and external websites.
• Attends briefings with Department management staff to review official agendas in preparation for scheduled meetings of the Board of County Commissioners and the various Advisory Board meetings.

• Completes revisions and additions to the agendas and ensures that all requested changes to the official agendas have been incorporated.

• Attends all Board of County Commissioner Zoning and Advisory Board meetings, distributes agendas to members of the public and answers general questions, and distributes and collects speaker cards and provides to the respective Chairs, as outlined in County policy.

• Responsible for taking, transcribing, and distributing minutes from the various Advisory Board meetings.

• Following Board of County Commissioner meetings, reviews Board memos relating to Advisory Board agenda items and posts to the County’s internal drives as necessary.

• Develops and updates agenda guidelines for departments and agencies that outline the procedures for preparation of agenda items for Advisory Board meetings.

• Responsible for coordinating the various Advisory Board annual meeting schedules and provides them to the Planning & Development Director for approval and distributes the approved schedules and associated agenda due dates to department personnel.

• Coordinates the reservation of the Commission Room, Space Coast Room, and Florida Room for the Board of County Commissioner Zoning meetings and Advisory Board meetings and works with the Brevard County Sheriff’s Office (BCSO) and Facilities Management to arrange for security as needed.

• Develops and updates training materials for the creation and review of agenda items in the County’s electronic agenda system and works with the County Agenda Coordinator, and if necessary, directly with the software vendor to correct any issues that may arise.

• Serves as the department’s contact for public inquiries relating to current agenda items, meetings, procedures, and policies.

• Coordinates and prepares the documents required for the swearing in of newly elected, re-elected, or appointed board members, in accordance with State of Florida guidelines.

• Creates and revises legal ads for Board of County Commissioner Zoning and Advisory Board meetings and outside agencies for posting on the County’s Legal Ad website and coordinates annually with the Florida Today newspaper for publication of ordinances, resolutions, and other required meeting notifications.

• Responsible for posting advertisement of meetings on the County’s Meeting Page and ensures that meeting agendas and minutes on the County’s website are Americans with Disabilities Act (ADA) and 508-compliant.
