Handles routine inquiries from both staff and inmates,
providing technical assistance and answering questions regarding the
general nature of correctional programs.
Screens telephone calls
or personal contacts with staff/inmates, utilizing own judgement in
directing the caller to the most qualified staff member.
Receives visitors to the office, determines the nature of
the requests and directs them to the appropriate staff or personally
provides the information desired when routine or procedural matters
of the office are involved.
Takes requests for appointments with supervisor and staff. Checks on their availability and confirms appointment.
Reschedule appointments upon request of supervisor
or staff member.
Assists with and relieves supervisory staff of routine
office activities and procedural problems as they arise or as
directed by the Unit Manager.
Provide assistance to one staff member or to several; however, in either case this
employee is the principal clerk of the office and operates independently of any such position in the office.
Responds to routine requests for information such as status
of reports, suspense dates for matters requiring compliance, and
similar information readily available from files from information disclosures and/or requests in accordance with regulations pertaining to Freedom of Information Act (FOIA) and/or Public Information procedures.
Receives, distributes, and routes incoming/outgoing
correspondence, screens material prior to distribution to the
appropriate staff member and establishes suspense due dates.
Use initiative to obtain clarification of instructions
from originating offices. Handles routine matters including
requests of a general nature.
Follows up on committee actions where indicated, including typing
and distributing committee docket sheets, processing committee
actions, and distributing copies to all concerned.
Reviews correspondence prepared for the supervisor and other staff. Checks
reports for conformance to formats and procedural requirements.
Responsibility for correct punctuation, spelling,
grammar, typographical errors and attachment of necessary materials.
Within established parameters, incumbent may sign routine correspondence, draft and/or complete replies to general or routine
Inquiries in accordance with a given format.
Maintains subject matter files and records that relate to the work
of the unit.
Sets up and maintains logs showing the status of actions
and correspondence.
Ensures that files include all required documents and that all documents are properly signed. Using either a word processor or a conventional typewriter, types narrative and tabular material as described therein.
Maintains Bureau of Prisons program statements, operations
memoranda, administrative and regulatory requirements,
correspondence files and records in the operation of the office of
the Unit Manager and support staff.
Creates inmate central files and maintains strict accountability of central files until transfer,
redesignation or release from a halfway house.
Accountability and proper maintenance of central files are vital to the orderly
operation of the institution and the incumbent exercises specific controls in this area.
Incumbent assists the Unit Manager and staff members in the
procedural aspects of expediting the work of this office.
Responsible for the preparation of draft and/or final
form of materials such as, memoranda, letters, reports, requests,
etc., as assigned.
Performs a variety of administrative support duties, such as
maintaining appropriate inmate admission, release and assignment
rosters and logs, taking and transcribing meeting minutes, copying
and filing and appropriate disposal of sensitive documents.
Maintains a calendar of appointments for the Unit Manager and staff.
Schedules appointments and makes arrangements for time, participants, and location of meetings in accordance with instructions from
the supervisor.
Make necessary arrangements for travel, arranging
schedules of visits, making reservations, notifying organizations
and officials to be visited, and submitting travel vouchers and
reports.
Composes complex but nontechnical correspondence, locating and
assembling information for various reports, briefings, conferences,
etc.; follows up with staff members to ensure that various
commitments made at conferences and meetings are met; designs and
organizes filing systems for daily upkeep of filing of all central
file documents in accordance with relevant central file policies.
Performs timekeeping by maintaining and preparing time and
attendance records; collects and compiles statistical data.
Requisitions office supplies, equipment, and publications.
Performs a variety of other duties, consistent with overall unit
mission and operation, as directed by the Unit Manager.
Provides clerical support to other units/departments as needed.
Along with all other correctional institution employees, incumbent
is charged with responsibility for maintaining security of the
institution. The staff correctional responsibilities precede all
others required by this position and are performed on a regular and
recurring basis.
Correctional responsibilities include custody and
supervision of inmates, responding to emergencies and institution
disturbances, participating in fog and escape patrols, and assuming
correctional officer posts when necessary.
Shakedown inmates, conduct visual searches of inmate work
and living areas for contraband, and is responsible for immediately
responding to any institution emergencies. The incumbent must be
prepared and trained to use physical control in situations where
necessary, such as in fights among inmates, assaults on staff, and
riots or escape attempts.
Authority to enforce criminal statutes and/or
judicial sanctions, including investigative, arrest and/or
detention authority on institution property.
Authority to carry firearms and exercise
appropriate force to establish and/or maintain control over
individuals. When conditions are warranted, the employee may enter
hostile or life-threatening situations and may be required to make
decisions affecting life, well-being, civil liberties, and/or
property of others.
Skill in operating calculators, electronic typewriters, personal
computers and related software programs, etc
Skill in developing and maintaining files, includes assuring
specific guidelines are followed
Skill in taking comprehensive minutes in weekly staff meetings or
other meetings, and in compiling minutes for supervisor's review in
a timely fashion
Knowledge of BOP inmate information and operation of BOP computer
systems
Knowledge of staff time and attendance requirements and skill in the
maintenance of accurate T&A records
Knowledge of grammar, spelling, punctuation, and capitalization to
