As a Management Assistant, I Maintain appointment schedules making final commitments for the Department Manager. I Screen all calls and visitors and determine which calls can be answered personally and which should be directed elsewhere.
I edit and offer a critique on internal management documents, pointing out aspects such as lack of clarity or understandability and questions on substantive content.

Set up conferences for the Department manager including arrangements for participants, space, time, accommodations, and required information and material. I prepare correspondence and memorandum in final form, prepare replies or initiates correspondence, e.g., letters of acknowledgment, commendation, notification, apology letters to the Taxpayer etc...
I Maintain the confidential files of all sensitive material. All conduct, ETRAK, ECCO LR cases etc... I Also establish and maintain general administration and other confidential files in the immediate office.
I review all incoming mail and correspondence. Route out correspondence to the Executive Staff Members and others as well as set controls and deadlines.

Conduct a thorough review of all correspondence and action documents prepared for signature
to ascertain conformance with established Internal Revenue Service policy, adequacy, and clarity of
information, format, and expressed view of the manager. Attempts to resolve conflicts through consultation with the subordinate officials or, if necessary, calls the problem to the attention of the manager.

Provide daily briefings on calendar events, important issues, trends, office related facts and reports to insure my manager has the information needed to maintain the department at a high level.

Create, retrieve and gather data using Microsoft Word, Excel and other office related software on a daily basis. I consolidate, gather, and create data for requested tasks.

Prepare and review travel requests. Maintain and reconcile travel credit card purchases. Provide instructions for employees to obtain a travel card and gain access to Concur.

Input supply orders through General Services Administration, review and reconcile purchaser orders and purchase card accounts.

Other than normal, regular secretarial duties, there are additional items that I am responsible for:

Time and Attendance adjustments

Over Time Reports completion


Labor Relation cases that the Director signs. – Log case Information and finalize Review Board Memo, Decision and Proposal letters.


LR Settlements – Prepare forms and/or Personal Action Requests, letter or provide accounting code when requested.


Prepare and Review Travel Authorizations and Vouchers – Also, remind Management Assistants to monitor employees projected travel until completed authorization and voucher.


Remind Frontline Managers, and Monitor Performance Reviews for completed Commitments, Mid-Years, End of Year narratives for timely input.


Follow the process for the End of Year Project Management and Reporting System reports to Headquarters.


Submit tickets, move to receive any items/boxes


Schedule Meet and Greet meetings for Staff – Operations Managers and Secretary Building Heads of Office, Offsite Executives, IT, Facility management and Security Services, Security.


Consolidating Responses, Labor Relations cases ect.

Accomplishments

Although an Injury ended my career as an Alarm Technician, I quickly transitioned to a Customer Service Representative at the IRS. Where I worked my way up to a Management Assistant in just over a years time. I have received six performance awards and special act awards in my three years and 4 months at the IRS.

As an alarm technician I have supervised a team of up to 5 technician's and have been the lead tech on multiple commercial installs.

I have proven to be versatile, dependable, self motivated, member of a team as well as a team builder and a problem solver in every position i have worked.
