I schedule all move-outs and move-ins, I do all the final move-out inspections and the inspection before the tenant moves in, I make sure the unit is painted, carpet cleaned, and replaced if needed, all major repairs are scheduled and done in a timely manner, and I schedule the make-ready for the unit and the final cleaning before moving in. I inspect this unit several times in the process to assure the unit is properly done. Do the deposit accounting paperwork when residents move-out.
I oversee all the monthly renewals for each month, staying at least 60 days ahead to give the tenant time to give proper notice of move-out. I sent all the notice-to-vacate paperwork and the prorated amounts that will be owed. I type all leases through Rent Café for the tenants that are staying. make sure all move-in keys and gate cards and welcome packets are ready to go on move-in day.
I collect all rent and small balances owed every month. I send out rent reminders a couple of days ahead for those who have not paid by the 5th to avoid a 10% late fee on the 6th. On the 6th, I add all late fees and send out a proper letter to notify them that a late fee has occurred. I attach the letter to their account, as well as send it to the resident through email. I check my delinquency daily to assure nobody owes any money, small or large. If rent and late fees are not paid by the 15th, then I will file the necessary paperwork with the company's lawyer. They can file and stay the first time, and then after that, we get definite possession of the unit the second time we go to court. Run all checks through the Yardi scanner.
I oversee all the upgrades done to any unit. Schedule the contractors and make sure all supplies needed are ordered and delivered in a timely manner. Just like the move-outs, I walk these units daily to assure all work is done properly.
I also run daily reports, such as the Monday morning report, box score, rental insurance, delinquency report, write-offs each month, and check the pay dash daily to assure there are no NSFs. I send accounts over to FCO when needed, and do all the deposit accounting paperwork. Make sure Key Track is always updated on vacants, and Doorking is always updated.
