The Administrative Support Supervisor/Facilities Project Coordinator is responsible for providing executive-level administrative support, to include calendar management, assistance with day-to-day operations and the drafting of department-wide correspondence on behalf of the Chief’s Office. This position requires the consistent utilization of high-level critical thinking skills while maintaining strict confidentiality, and is responsible for the coordination of executive-level events and the oversight of a variety of complex projects. Relevant skills include:

  • Scheduling and Operations: Collaborated with partners, leadership, and executive staff to coordinate multiple events, to include the use of digital platforms such as Zoom and Teams. Planned and coordinated logistics and materials for board meetings, committee meetings, and staff events. Created and distributed agendas for meetings and conference calls as part of meeting preparation. Coordinated facilities projects to limit impact to internal workflow.
  • Facilities and Project Management: Managed a variety of complex projects, to include the inventory of a variety of items, the fundraising and coordination of an annual $30,000.00 event on behalf of the department, and the oversight of building maintenance and facilities-related renovation and projects totaling up to 1 million dollars. This includes coordination with vendors, scheduling, and correspondence within the department and with our external partners to streamline results while minimizing impact to workflow. Performed site walks with vendors and obtained additional quotes to ensure product met quality and cost standards.
  • Community Engagement and Collaboration: Gathered and disseminated actionable data to assist in community events with leadership from City Council, the Rotary Club, Glendale Fire Department, various community outreach programs, and the district Superintendent of local education facilities. Served as the administrator for the West Valley Chief's Association, which includes police chiefs from 8 surrounding law enforcement agencies and a variety of regional leaders.
  • Communication: Contributed, both verbally and in writing, to the highest level of compassionate customer service as a representative of the Chief's Office. Drafted and organized custom documents and correspondence on behalf of the Chief’s Office, the West Valley Chief’s Association, and the Glendale Police Department’s Excellence Committee. Track and complete requests for information from internal and external partners/citizens in the Glendale One ticket system.
  • Research and Analysis: Gathered information regarding standard practice in order to develop and implement strategies to streamline office procedure. Directed automation of office procedures such as correspondence management, recordkeeping and online communications. Conducted research on pertinent topics and presented results to executive-level staff members and department leadership.
  • Software: Utilized various software programs, including Microsoft 365, NEOGOV, Adobe Acrobat, Lucity, Outlook, SmartSheet and Excel.
  • Leadership Development: Supervised two management assistant-level positions that provide direct administrative support to three (3) Assistant Chief level positions as well as one (1) Commander level position, the Real Time Crime Center, and the Professional Standards Unit.
