Lead Business Systems Specialist

  • Reporting to the Manager, IT Business Solutions, the Lead Business Systems Specialist is part of an internal IT Team responsible for supporting the Trust adoption and effective use of assigned business systems
  • The Trust uses several business systems to support its operational duties, each of which are relied upon by one or more departments to successfully achieve their business goals and objectives
  • The Lead Business Systems Specialist manages their assigned systems/data projects on behalf of the Trust and in direct alignment with expectations from the business owner/sponsor of each system
  • In addition, the Lead Business Systems Specialist serves as the technology leader and subject matter expert of their assigned systems and is a key contributor in efforts to enable business areas to realize the intended value of technology investments, including identifying and confirming end-user requirements, implementing continuous improvements, maintaining system configurations and process automation, and coordinating system upgrades and other project initiatives.

Skills

  • Demonstrated experience working with software applications including all aspects of the software development lifecycle including configuration, testing, controls, training, and data/process maintenance
  • Demonstrated problem solving and analytical skills with a high level of attention to detail
  • Highly proficient in personal computer skills and use of software (Microsoft suite and other applicable collaboration tools)

Minimum Required Experience

7+, Education or experience in a related professional business area, e.g. operations, finance, systems, computer science, accounting., Demonstrated self-starter with ability to work with limited supervision, Strong interpersonal skills and demonstrated commitment to teamwork, Strong oral and written communication skills, Organizational skills with an ability to meet deadlines with accuracy, “Ownership” mentality with demonstrated ability to be responsible for an entire system, process, project, etc., Ability to work in a dynamic environment where roles and responsibilities are evolving as new processes and procedures are implemented, Demonstrated initiative and willingness to assume higher levels of responsibility as needed, Project management leadership experience preferred, Prior business and/or business operations experience beneficial, SQL experience beneficial

Legal, adobe sign, functional expertise needed, hr., eligibility dept, finance, healthcare, nine different areas. On technology side, look at different ways can be supported…. Project Mgmt, take a business need and helping get from a to b, take problem, break it down, Need to have relationships with functional areas, really curious, , understand the why behind the what, have to ask for it. Literate on both ends of tech and business. Don’t have to have prior exp. Doing this exact thing. Vince thinks APP/DEV background works well for this type of role. Been around the block before, support various applications, doesn’t have to be doc Mgmt in past before, but understand different applications and how they apply to business. Might have people who are primary and secondary…. Someone that served in business analyst or project Mgmt role? Not a PMP….. Appdev background if you’ve been in software Eng or business analysis, need to have done work in that capacity for several different systems to apply that in this space…..a PM will come in won’t tell you steps to put it in, Newly created role….as they were contracting new system, the system that is being sunset did not have this role…. They have an existing system that provided little value add.

Essential Functions

  • Actively participate in and support the Trust’s development and maintenance of a high-functioning work environment including a strong service and continuous improvement culture.
  • Develop strong relationships across the organization, acting as the technology leader, subject matter expert (SME) and data steward for their assigned systems.
  • Responsible for supporting the collection, entry, validation, monitoring, and quality of any data required to configure or enable the Trust’s effective use of assigned systems. System support responsibilities may include compiling management reports, working with IT regarding issue/change management resolution, data quality validation and developing and conducting end-user training.
  • Manage relationships between stakeholders, vendor, and technical resources to ensure mutual understanding of proposed system enhancements and process improvements.
  • Facilitate design workshops with the business community to solicit and document requirements. Interpret the business needs and effectively translate them to the technical development team.
  • Develop project plans and collaborate with stakeholders, lead project activities, including resource and budget planning, analysis, design, development, configuration, testing, training, and cutover.
  • Lead system and user acceptance testing, negotiating with business stakeholders, triaging defects including complex system/data issues, and obtaining stakeholder sign-off.
  • Coordinate system maintenance and project deployment activities with Trust IT and the Vendor; including system backups, code review sessions and system downtime planning. Communicate system changes and the maintenance window to the user base community.
  • Assist with the vendor selection process including gathering/communicating system requirements, drafting, and scoring vendor RFI/RFP responses, designing, and scoring proof of concept demonstrations, and making vendor recommendations.
  • Independently lead the proof-of-concept process to prove the viability of new applications to manage business needs including relations with potential vendors and staff. Develop and present recommendations to leadership.
  • Lead cross-functional staff through the development and maintenance of system functionality documentation, process, and data architecture. Delegate to, and oversee tasks performed by other stakeholders to formalize documentation.
  • Manage relationships with vendors, collaborating on prioritization of work effort and project timelines. Participate in contract negotiations and assist with performance monitoring, service levels and data quality in delivering successful solutions to business needs.
