  • Housing Clerk is involved in the day-to-day administration and is responsible for complex record keeping for all aspects of Posts Housing Program. Oversee and manage housing contracts, ensuring compliance and accuracy. Negotiate terms and conditions with housing providers to secure favorable agreements. Maintain meticulous records related to housing contracts, utility payments, and cleaning services. Ensure all documentation is organized and easily retrievable. Draft official correspondence and letters related to housing matters. Communicate effectively with residents, contractors, and other stakeholders.
  • Handle utility payments for housing units, ensuring timely and accurate processing. Monitor utility consumption and implement cost-saving measures when possible. Responsible for generating payments for all the leased properties. (Utilities: Water, Gas & Electricity), pick up all bills from the companies or receive the invoices. Mark all the bills with the tenant’s name and department for charge.
  • Submit cleaning orders and supervise cleaning services to maintain a clean and sanitary living environment. Conduct final inspections to ensure cleaning standards are met.
  • Manage and secure the distribution and tracking of keys for housing units. Implement key control measures to safeguard property and residents.
  • Highlight in the House contracts the most important points in PDF ADOBE ACROBAT PRO and upload the contracts to the Housing system.
  • Maintaining Intranet Home Page. (Took Fast-track Course "Share Point 2007 * 2010" to create the new INTRANET page). And keep it updated.
  • Develop and maintain detailed floor plans for housing units, ensuring accuracy and accessibility. Coordinate any necessary modifications or updates to floor plans.
  • Handle payments for home phone services associated with housing units. Address any billing discrepancies and ensure uninterrupted service.
  • Drive Government Vehicles as needed for housing-related activities.
  • Help with any other Housing activities that may come up.

  • External Call Handling:

Answer all external incoming calls from the public and direct them to the requested extension. Redirect calls to the proper numbers when handling consular section procedures.

  • Extension Database Management:

-Update and maintain internal desk extensions, service extensions, and personal contact numbers. Compile this information in an Excel spreadsheet and distribute it monthly via mail to all manager employees.

  • Assistance to Mailroom and Radio Tech:

-Collaborate with the mailroom and assist the radio tech as needed. Support the radio tech in updating Nortel screens with employees' names and maintaining Call Bill System Reports.

  • Switchboard Opening:

-Open the switchboard to handle important calls from the Embassy. Prioritize and ensure prompt communication of critical messages.

  • Consulate Communication:

-Contact consulates in Mexico, including the Embassy, on a bi-monthly basis to update contact information, IVG, and Faxes. Ensure CDJ Consulate has up-to-date and accurate information.

  • Welcome Packages for New Employees:

-Create comprehensive "Welcome Packages" for new officers. Include essential information that facilitates their job in the consulate, contributing to a smooth onboarding process.
