Executive Assistant to President & Office Manager

Executive assistant duties for the President of the Bank and his team including the Director of Operations and the Chief Technology Officer:

  • Manage schedules and attend meetings as needed
  • Coordinate travel plans (business and leisure)
  • Organize business-related expenses to create reports and submit for reimbursement using Onedrive, Excel and Docusign
  • Screen correspondence and take calls

Administering the headquarters office of the company located in Brickell on a full time basis (Executives rarely in the office):

  • Address all in person inquiries from customers
  • Manage paperwork and information required for team, events, vendors and property administration
  • Updating TV ads in reception with latest rates
  • Ordering supplies as needed for Miami and Wilmington office locations
  • Maintaining the space and resolving issues as needed with our IT department, maintenance team, janitorial staff, etc
  • Sorting correspondence accordingly and sending to respective departments via scanner or Fedex
  • Organize and execute all necessary steps for executive meetings, most importantly the quarterly Board of Directors meetings: reserving building meeting rooms and hotel rooms for members of our team
  • Ordering catered meals and work with vendors during event, making reservations for additional team meals
  • Day of logistics: set up meeting room technological equipment, ensure everyone is present and connected to our network, accommodate everyone as needed
  • Notarize 30+ various documents for the company and its subsidiaries
  • Create and send truth in savings disclosures for our certificates of deposits by running reports on newly opened and rollover accounts using Business Analytics and FXIM platforms
  • Upload new business documents onto our core system, Director using their respective information on the Navigator platform
  • Manage an ATM Installation project, coordinating all steps of process: Permitting, Contractors, ATM Network Company, Brinks, Building Administration Permissions, etc.

  • Coordinated & managed all steps of opening 3 new offices in U.S & Mexico besides contract: domestic & international travel to meet realtors for viewings of different spaces, working with general contractors and architects, fiber-optic internet installations, surveillance/access control, ordering of supplies & furniture, administrating staff resources, researching regulations of local government and applying to obtain permits, coordinating civil protection
  • Project Manager for Litify’s Salesforce Integration & Amazon Connect- Engage Phone System: successfully deployed 2 new systems & assisted during migration of a team with 100+ people, represented the company in weekly meetings (each project 6+ months), created tasks for a group of 15-20 people, consistently followed up on pending items, scheduled & led meetings for reviews of solutions, led the testing & coordinated the onboarding training of entire team (6 departments), provided IT service for team by identifying issues/solutions & submitting tickets, managed integration with a number of platforms: Docusign, Jotform, Lawpay, Quickbooks, Banjaxed, AWS
  • Coordinated all firm events (internal & external) such as immigration clinics-marketing events, grand openings, job fairs, company parties, executive retreats in collaboration with my supervisor and human resources department: researched potential partners & vendors, ordered, organized and transported all necessary items (merchandise, chairs, tables, entertainment, food, flyers), arranged the correct team of people & training for each event depending on the type
  • Directed the events by delegating to others, greeting clients or potential employees, organizing the internal team and vendors in the most efficient manner, conducting potential client consultations, gathering content for potential marketing material
  • Managed a variety of financial & legal matters such as processing invoices, creating checks through Checkkeeper and depositing received checks into multiple accounts, purchasing money orders for emergency cases, providing authorization signatures for company expenses, organizing corporate documents and contracts, completing important purchases using my own discretion for up to $5000 dollars
