
Determine and coordinate program logistics, including venue, caterer and audio visual availability/suitability.
Negotiate costs with venues in order to obtain best pricing for clients and stay within industry and client compliance guidelines, via utilization of Modest Meal calculator tool.
Execute and review all vendor contracts prior to booking. Full execution of any contract/guidelines includes communicating completion to program manager and saving the final document(s) accurately on the client drive.
Escalate venue and caterer requirements that fall outside of client(s) guidelines to Program Manager.
Prioritize workload and stay in constant communication with Director regarding venue/caterer planning workload.
Meet all meeting planning client performance metrics as directed by management.
Re-confirmation and/or final guest count calls to venues. (when applicable)
Adherence to industry compliance and client business rules as related to venue and caterer planning.
Verify sign-in sheets and receipts from client field representatives and cross-check all post-program reference documents for accuracy or discrepancy.
Itemization/coding of receipt costs, including utilization of a line cost calculators for venue-based programs.
Ability to work in client rep portal and correspond with the field representatives via phone and/or email regarding processing post program material(s).
Escalate post-program material requirements that fall outside of client(s) guidelines to Shared Services Managers or Director as well as to client field representatives.
Prioritize workload and stay in communication with Shared Services Director regarding post-program review and follow-up.
Meet all client closeout performance metrics as directed by management.
Adherence to industry compliance and client business rules as related to program closeout.
