- Supervise assigned staff to include hiring, training, scheduling workloads, evaluating, and terminating employees. Ensuring all employees adhere to protocol.
- Budget Negotiation/Preparation - Negotiate with pharmaceutical companies to ensure cost coverage on all trials. Provide support to Proposal Services team on grant submissions related to Clinical Trials, develop budget estimations for Letters of Intent with pharmaceutical and other strategic business partners.
- CTMS Calendars/Integration - Build calendars for tracking of accounts receivable based upon the budget and contract on each trial. Work closely with the Finance team in Administration on questions or concerns to assist with collection. Provide feedback to staff on appropriate use and function of the calendars. Work with business partners to ensure data can be provided in a timely manner and a way required in order to receive payment in a timely manner.
- Coverage Analysis - Build and ensure development of coverage analysis for all qualifying clinical trials as defined by the Medicare Clinical Trial Policy (NCD 310.1) to reflect which medical procedures/services may be ‘Routine Cost’ and billable to patient insurance and which should be billed to the study sponsor. Collaborates with Principle Investigators, CTO staff and leadership and hospital administration to finalize coverage analysis billing plans, confirm procedural codes and ensure coverage for staffing and supplies.
- Coordination of Contracts - Work with external parties to initiate and develop contractual documents for each trial and ensure all necessary tests/procedures/labs/etc are accounted for on each study requisition. Communicate to staff the proper usage of such documents and provide updates on any revisions in process.
- Foster strong relationships with investigators, ensuring consistent communication throughout trials for smooth operations.
- Facilitate cross-functional collaboration among study teams, fostering a cohesive working environment for optimal trial execution.
- Manage multiple concurrent trials effectively, applying strong organizational skills and prioritizing tasks appropriately to meet project deadlines.
- Ensure that the Clinical Trials Management System reflects budget parameters that are required for revenue recognition, billing, and collections and that budget parameters are entered promptly.
- Expedite trial timelines by proactively identifying potential bottlenecks and implementing solutions to address them effectively.
