  • Entering newly adjudicated files into AZPROS, the Adult Probation case management system, and the accompanying Excel spreadsheets. Information entered includes, hearing statuses, caseload assignments, probation terms, jail or prison incarcerations, supervision levels, consecutive and concurrent terms, community restitution mandates, restitution, victim notification updates, addresses, case statuses, special conditions of probation, and any additional requirements of probation listed on the Conditions of Probation.
  • Updating AZPROS with AZ DOC inmate numbers, mailing release notification letters to the AZ DOC Time Computation Unit, transferring caseload assignments to the probation officer that coordinates AZ DOC releases more than ninety (90) days out, updating probation terms and mandates that did not convert during case management system conversion, and tracking movement in the associated Excel spreadsheets.
  • Tracking release dates for federal prison inmates, AZ DOC inmates with prison terms of less than ninety (90) days, and out-of-state inmates and updating incarceration terms, probation terms, addresses, case statuses, caseload assignments, creating new labels with probation "start" and "end" dates, transferring the file to the assigned probation officer, and updating the accompanying Excel spreadsheets upon release.
  • Accepting transferred files in which defendants have been reported deported by ICE or detained by ICE, verifying deportation or pending deportation and entering defendants and their current ICE statuses on accompanying Excel spreadsheets and in AZPROS.
  • Sending monthly requests to the Immigrations and Customs Enforcement Agency to obtain current statuses for defendants with pending deportation matters, updating AZPROS with the "Pending Deportation" or "Deported" statuses and updating the accompanying Excel spreadsheets.
  • Monitoring probation term dates for all caseloads and generating Petitions to Discharge from Probation and Order documents, e-filing signed Petitions to Discharge to AZ Pima County Superior Court, updating/closing the file once the signed Order has been received, logging and sending the files to Records, and updating the accompanying Excel spreadsheets.
  • Generating requests for Death Certificates and filing Petitions to Terminate for deceased defendants or defendants who qualify for termination that have had an active warrant for over ten (10) years, have not been located, and are eligible for termination; E-filing the signed Petitions to Terminate to AZ Pima County Superior Court, updating/closing the file once the signed Order has been received, logging and sending the files to Records, and updating the accompanying Excel spreadsheets.
  • Logging incoming absconder files and verifying that the type of warrant requested in the same type of warrant issued, updating the caseload assignment from the previous probation officer to the absconder unit, notifying the Absconder Unit of incoming files, adding new absconder files to the accompanying Excel spreadsheet, forwarding eligible absconders to the Warrant Resolution program and sending the Petition to Quash Warrant, Dismiss PTR and Restore the Term of Probation to AZ Pima County Superior Court; updating files in AZPROS, once the signed Order has been received; transferring caseload assignments and updating the accompanying Excel spreadsheet.
  • Receiving booking reports from Pima County Jail for absconders and updating the incarceration, address, and caseload assignment, entering an outgoing note for the absconder team, notifying victims of the arrest and pending Petition to Revoke, sending email notifications of the arrest to the probation officer working the Petition to Revoke, and transferring the file before the end of the day.
  • Compiling quarterly statistics from the Absconder Excel spreadsheet for Administration to provide to the Arizona Administrative Office of the Courts for the total number of incoming absconder files for the quarter, outgoing absconder files for the quarter, and of the number of cases with drug-related arrests/offenses.
  • Serving as back-up to the Interstate Compact Caseload, answering incoming customer service calls, covering for mail runs and E-Doc processing as needed.
