
· Manage phone calls and correspondence (e-mail, letters, packages etc.)
· Track stocks of office supplies and place orders when necessary.
· Locates, extracts, and summarizes information from files for preparation of reports or to respond to inquiries, routine requests, or complaints.
· Perform lead administrative assistant duties routinely; managing service, amenity, and inventory tracking; along with the creation, organization and tracking of the home team clients.
· Respond and handle inquiries from senior centers, vendors, and the community.
· Receive and verify bills from vendors.
· Assist in coordinating the Power of Age Senior Expo, Volunteer Luncheon, and 5k Run/Walk.
· Analyzes records requiring the interpretation and application of guidelines and procedures.
· Documents leave usage, including family and medical leave.
· Record time and attendance of all senior center staff on OLTA and Workday system.
· Monitors expense log made against budget accounts for the senior centers.
· Develops, implements and maintains agency procedures within the department.
· Prepares meeting minutes and maintains organized files of the minutes.
· Prepares and processes personnel related documents and forms.
· Assist in managing the call center team for the food distribution during the pandemic.
· Operates office equipment such as computers, fax machines, photocopiers, voice mail
messaging systems and computer scanning equipment to complete department tasks.
