  • Perform administrative, logistical, and operational management of BHA West Africa Regional Office(WARO)
  • Arrange all local & international travel for BHA Staff (flights booking, follow up of electronic Travel Requests, Travel Authorizations submission in e2, submission of visa applications to State/Travel Section, send ecc Requests etc,
  • Main POC between BHA Office and USAID Offices. At the same time serves as liaison between BHA Staff in the field and BHA/Washington.
  • Coordinate logistics for DART or RMT deployment of WARO staff. Request fund cite to BHA Washington and handle logistics for traveler. Perform any TA amendment in coordination with the DART Admin Coordinator.
  • In case of Declaration of Humanitarian need(DHN) after a disaster is responsible for putting together documentation that will be uploaded in GLAAS in form of Requisition to award funds to the Partner.
  • Serve as BHA requester for procurement actions and maintain a tracking list of GLAAS. Initiate incremental fundings of contracts and follow up approval. Ensures that GLAAS actions are submitted with all required documentation in line with US government and USAID specific guidelines and regulations. De-commit unused funds in GLAAS whenever needed.
  • Manage all logistics for incoming TDYers including eCCs, hotel bookings, transportation to and from the airport, schedule security briefs, ensure they have communications equipment and also provide logistical support to the BHA Information Officers coming on TDY in the West Africa Regional Office.
  • Manage all logistics related to BHA Regional Workshops and Consultations: work with USAID/EXO to identify and procure suitable conference space and prepare related budget, submit the Procurement Request in GLAAS, arrange round trip transportation for participants, follow up ecc approval, submit Visitor Access Requests in Myservices etc.
  • Follow up bi-weekly Time and attendance submission for BHA Staff,
  • Submit visitor access request and serve as escort to visitors and BHA Partners, arrange meeting space and submit Visitor Access Request to RSO.
  • Respond to action and information requests from BHA Staff and other offices in the field. Provide guidance when requested and assist on Travel advance submission in e2.
  • Draft Action Memo for events, staff recruitment, contracts extension,
  • Update Leave and Travel Calendar for BHA and make sure it is reflecting on the Mission Leave Calendar,
  • For new BHA staff, arrange ABR submission through HR, Request appointment for RSO briefing and badging, Office & Computer setup, arrange meeting with Ambassador or DCM, with Senior Management and set up orientation schedule with other USAID Offices.
  • Establish and maintain a travel calendar showing planned staff travel and updated regularly for BHA WARO Region
  • Schedule outbrief with Ambassador for leaving staff and assist with check out procedure.
