I. Summary Description:

Reporting to the President, the Vice President, Chief Financial Officer is responsible for overseeing OHA, OHERI and OHAIA’s day-to-day financial operations as well as producing timely and accurate financial statements for all fiscal reporting periods. Additionally, this position is responsible for annual dues billing, budgeting and forecasts, processing and maintaining all payroll functions, and all tasks associated with the annual audit. Also responsible for maintaining the general ledger, accounts receivable and supervising the accounts payable processes.

II. Functional Duties:

A. Daily Financial Operations

1. Receive, review and approve invoices and forward to Health Policy & Finance Assistant for payment.

2. Process the daily lockbox deposits (if any) emailed by Quality and Clinical Initiatives Assistant.

3. Maintain and prepare physical checks for deposit.

B. Monthly Financial Statements

1. Prepare and enter all journal entries into Microsoft Dynamics GP.

2. Reconcile bank statements.

3. Prepare TSET invoice for the month.

4. Mail statements at month end.

C. Annual Dues Billing

1. Obtain quarterly cost report data from Health Policy & Finance Assistant for operating expense information.

2. Calculate lobbying percentage to include on dues invoices.

D. Budget

1. Prepare budget worksheet in Excel to export into Microsoft Dynamics GP.

E. Payroll

1. Biweekly payroll preparation including maintenance of payroll records.

2. Responsible for payment of all federal and state taxes as well as preparing and filing timely quarterly reports.

3. Prepare and upload annual 401(k) plan employee census.

F. General Ledger

1. Ensure proper posting of transactions to accounts in the general ledger.

2. Reconcile accounts.

G. Accounts Receivable

1. Post all AR/Cash batches in iMIS.

2. Export closed batches to text files to be exported to Microsoft Dynamics GP thru Integration Manager.

H. Accounts Payable

1. Review batches prepared by Health Policy & Finance Assistant to verify accounts.

I. OHAPAC

1. Reconcile bank account and prepare monthly financial statement.

2. Prepare and file annual IRS Form 990-EZ

J. Miscellaneous

1. Maintain GOCHC financial records; file annual IRS Form 990-N e-postcard.

2. Annual dues billing for affiliated societies and preparation of monthly financial statements.

3. Oversee all preparation and reconciliations for the annual audit.

4. Prepare and upload annual SHAEF survey.

5. Distribute flexible spending account (FSA) elections forms the first of December to be forwarded to American Fidelity.

III. Background

The person in this position should have a bachelor’s degree in accounting from an accredited university with at least 5 years of general ledger accounting, budgeting, payroll, human resources and financial statement preparation. The position requires a detail-oriented person with the ability to work on several tasks at one time. A working knowledge of Microsoft products, Excel, Access, Crystal report and Dynamics GP and Dynamics BC or similar program.
