Detailed Responsibilities

Clerical

  • Organizing the building schedule and ensuring the correct department had their schedule for the day.
  • Assisting in pulling builders blueprints and marking with the correct information, (lot number, address, permit numbers, and model style)
  • Assisting with invoice data entry
  • Ensuring that 811 Marks were submitted or remarked for upcoming construction and keeping records in excel spread sheets and job site folders.
  • Filing job site folders in alphabetical and numerical order in the filing cabinet system.
  • Occasional assistance in sorting mail, answering phones, and email responses.


Permits/Job folders

  • Create a schedule report for a specific timeframe.
  • Make a list of needed permits for a specific time frame.
  • Print all selection sheets.
  • Determine if home has gas (and if it is natural or propane), how many various fixtures are in the home (number of tubs, toilets, sinks, etc.), if location requires a gas utility permit and submit application as needed, if location can provide the sewer location and submit a request.
  • Make sure the jobs are properly and correctly set up in Quickbooks.
  • Log permits received into spreadsheet.
  • Request various inspections as requested daily.
  • Check inspection results daily.
  • Send an email to department managers with results.


Warranty Coordinator

  • Receive service calls from homeowners and builders via email and phone.
  • Determine whether the request is an emergency or not. Also determine if the request is a production "issue" or a warranty service.
  • Contact homeowners and set up appointments for service.
  • Coordinate with department managers and/or service technicians to have service performed.
  • Maintain Outlook calendar/Schedule to ensure all appointments are handled accurately.
  • Follow up with technicians on what was performed and enter notes in Outlook.
  • Contact various vendors to order parts / materials as needed.
  • Once parts are received, schedule new appointments with homeowners.
  • Once new parts are installed, process returns to manufacturers/vendors.
  • Complete and track any warranty paperwork to ensure credits are received.
  • Data entry of completed warranty credits
  • Entering in model and serial numbers along with the credit information from the manufacture into Excel spread sheet

Cover Letter

I currently have seven years experience as warranty coordinator. I have worked with many residential builders scheduling for both HVAC and plumbing. I have worked with three divisions of Ryan Homes, and have previously worked with DR Horton, StyleCraft and Schell Brothers. This has allowed me to meet and work with many project managers, warranty managers, and homeowners.  I have been a loyal employee with a total of eight years with my most recent employer before the business closed it's doors. I enjoy working from home for the past four years, which has allowed me to support my husband in his career, with an added bonus of being a stay at home mom to my three children. I am grateful I get to show them a strong work ethic, how to work well with others, and problem solving skills and I hope I can continue to do so as I grow my career.
