Provide administrative support to the Task Force Commander and Agents.

  • Pay all bills in a timely manner to avoid any additional charges. All bills must accompany an original invoice and be put into the system to generate a purchase order from the County Auditor’s Office.
  • Reconcile all gas and credit cards monthly to submit for payment. Making sure all original receipts are attached and match charges on the statement. If an original receipt is missing I am responsible for typing up an email explaining why.
  • Reconcile five bank accounts monthly to be turned in to the County Auditor for review. These reports show all monies coming in and going out as well as keeping track of outstanding purchase orders. All receipts, transfer letter and backups must accompany these reports.
  • Proofread documents for grammar accuracy prior to submission. I assist the Agents in proofreading their reports before submitting them to the DA’s office.
  • Prepare agenda items to be discussed at Commissioners’ Court. To include creating Interlocal Agreements, MOU’s, and contracts between other county offices, surrounding counties and law enforcement agencies.
  • Arrange conference, travel and hotel reservations for agents as well as making sure per diem is approved and provided to each of them.
  • Order office supplies, uniforms and anything else needed to ensure the agency operates smoothly and agents have what they need to perform their job effectively.
  • Review all timesheets ensuring they are filled out properly with the correct line item number. There are currently nine (9) line item numbers for payroll that I keep track of and make sure they correspond with the correct hours worked.
  • Maintain files for all grants to include applying for the grant, budget amendments, progress reports and liquidation at the end of the grant period.
  • Maintain spreadsheets of all grant overtime worked to include, hours, mileage, stops made, etc....
  • Experience in Excel and Word.
  • Keep track of important meetings and dates for Commander and Agents to include community events.
  • Money seizure logs and distribution of funds awarded.
  • Maintain impound log of Task Force vehicles and seized vehicles.
  • Yearly budget preparation and submission.
  • Keeping track of revenue and submitting line item transfers when needed to ensure items can get paid when necessary with no issues.
  • Assisted with human resources tasks such as updating employee files, change of status forms or submitting time-off requests.

I worked in the Vitals Department and we would receive requests for certified copies of Birth Certificates, Death Certificates, Amendments and Marriage Licenses. I had to make sure all documentation was correct and documented before sending out any of the above items.

All my folders had to be in order with all backup, recording of the meeting and completed minutes. I would present my minutes to Commissioners’ Court for approval. Once approved I would upload them to the county website for transparency.
  • Answered phone calls and responded to customer emails.
  • Completed data entry tasks with strong focus on accuracy and data integrity. Attention to detail was imperative when entering new births, amendments to birth certificates, deaths and marriage license information. I also helped in Property Records and attention to making sure the Legal Description is correct was extremely important in keeping excellent Property Records for surveyors, title companies, lien holders and the general public doing research. I also entered Misdemeanor cases when the criminal department was overwhelmed and needed help.
  • Collected, counted, and audited bank bags of each deputy clerk every morning to prepare the bank deposit each day. I also audited cash drawers when needed and processed all credit cards.
  • Elections was a very big part of the County Clerks office. We conducted meetings and training for election judges and workers. We set up polling locations, processed ballot by mail request as well as receiving ballots. Keeping record and logs of candidate paperwork, ordering ballots, separating them into precincts and party then reporting everything to the state. We also worked with the City of Kingsville in assisting them with their elections.
