Executive Management Assistant

  • Serves as key advisor to Special Agent in Charge (SAC) of New Haven Office of FBI and responsible for planning and executing day-to-day administrative and technical management functions involved in operation of field office.
  • Participates in bi-weekly meetings with New Haven's Executive Management Team, as well as monthly meetings with New Haven's Leadership Team, to discuss ongoing matters.
  • Assist members of Leadership Team to help resolve issues.
  • Serves as subject matter expert in Web TA/Master Timekeeper.
  • Provides HR management services to staff at all levels within field office. HR services include, but are not limited to, internal and external hiring, staffing and recruiting; preliminary background processing; employee benefits (insurance, leave, retirement); workers' compensation; employee development; employee relations (performance management, incentive awards, and conduct/discipline); compensation; position classification/management.
  • Manages division Incentive Award Program - FY24: $165,000 budget; crafts division-wide communications and instructions, submits award nominations in HRSource as subject matter expert and produces and distributes award certificates.
  • Processes all personnel action requests (PARs) through HRSource Application for approximately 115 Agent personnel.
  • As HRSource SuperUser, willingly lead, share knowledge, and provide instruction and guidance on various daily administrative procedures, requirements, applications, and other matters to other employees, not only in New Haven, but in other field offices as well.
  • Coordinates all new Agent assignments with SAC regarding squad placement.
  • Handles all administrative responsibilities associated with Office of Professional Responsibility (OPR) and other sensitive matters, which require significant amount of trust and confidentiality out of respect for affected employee(s).
  • Serves as primary Sentinel Organizational Unit Administrator, ensuring 100% accuracy of employee assignments in Sentinel Application to minimize access issues.
  • Maintains SAC's appointment calendar, establishing certain priorities based on knowledge of SAC's commitment schedule and taking into account nature and urgency of matters; sets up, reschedules, and/or tactfully refuses appointments; accepts and/or declines invitations to meetings, arranging for representation of another official where desirable to do so.
  • Prepares all SAC travel.
  • Mentored junior staff members in professional development, contributing to overall positive work culture within organization.
  • Processes all National Security Letters (NSLs) requiring SAC's signature and uploads signed NSLs into Foreign Intelligence Surveillance Act Management System (FISAMS).

  • Prepares and presents findings, orally and in writing, to higher-level management personnel in field office and, as required, at FBIHQ.
