Schedule appointments for all surgeons for suite 200 and suite 210. Request and obtain authorization with medical records for patients appointments. Acquiring co-payments collected at the end of the day to close batch. Checking incoming faxes. Checking in/out patients. Verifying insurance coverage and collecting co-payments. Checking front office voicemails.
Rooming patients. Collecting and documenting patients medical health history information on Power Chart such as WT/HT, and vitals BP/P/RR/ O2sat. Translating for patients. Educating patients on procedures and care plan instructions. Obtaining surgery consent from patients. Following HIPAA and OSHA guidelines. Obtaining referral authorizations for follow up appointments, procedures and surgeries. Updating MPTL. Sanitizing, restocking, and organizing exam rooms and medical equipments. Autoclaving instruments. Replacing sharp containers from exam rooms and procedure room. Checking voicemails for MA in suite 210. Setting up surgical trays and assisting General and Urology surgeons with minor clinic surgeries or procedures. Prepping and administering oral medications and injections to patients prior to or after procedures following surgeons protocols. Assisting with routine check and diagnostic testing by collecting and processing specimens. Triage incoming calls for all surgeons to determine caller's needs for immediate appointments or scheduled visits.
Coordinate Surgery dates for patients with SVH surgery coordinator for General surgery and Urology. Calling patients to explain surgery process. Faxing preop request to patients primary doctors. Obtaining surgery authorization for up coming surgeries. Obtaining preop clearance for patients to fax to SVH prior surgery date. Scheduling post op appointments. Calling patients two days after surgery for post op triage. Entering surgery information on Microsoft list for each surgeon. Updating Microsoft list for pending surgeries. Calling and faxing Pharmacies to submit prescriptions ordered by all surgeons. Communicating to office Manager and surgeons to block schedule for their surgeries.
Checking in on front and back office to increase clinic efficiency. Training and mentoring newly hired front office associates, medical assistants and surgery coordinator. Assist the team in both suite 200 and suite 210 as needed. Stepping in to resolve conflict when a team member gets a problematic patient. Implementing office rules for better workflow when manager is not in the clinic. Helping staff members to create tickets and communicate with IT. Making sure clinic is organized and clean. Checking inventory, emailing check list for back office medical supplies, front office supplies and break room supplies to manager for her to place orders to Henry Schein, SVH and office depot. Helping medical assistants in setting up medical supplies and instruments for procedures. Checking quality control for urine dipstick. Creating and updating check list for each procedure for all surgeons. Assisting manager with Aspen Surgical Center billing task. Attending meetings for new office protocols as needed. Explaining new office protocols to associates. Keep in communication with all surgeons on their protocols for appointments, schedules, procedures and passing the message along to the team members with a print out document. Updating all binders with new processes for each surgeon, radiology information, insurances information, CPT and ICD-10 codes and general information from the Simi Valley Hospital. Going over new hire/department competency check list with each staff member and reporting to the office manager on the performance of each staff member as requested. Staying after hours to catch up on work or helping staff members to catch up on their unfinished work as needed.
