The Senior Administrative Coordinator in the Department of Medicinal Chemistry, School of
Pharmacy is an individual with extensive knowledge of numerous administrative functions
crucial to the day-to-day function of the department and supporting its role in the School and
University. The incumbent works independently with significant latitude for decision-making,
and will seek out and identify new solutions that improve the functionality of the unit. The
Senior Administrative Coordinator’s role includes: 1) managing and coordinating faculty, staff,
student and postdoctoral timekeeping for leave, pay adjustments, and related notifications for
around fifty employees; 2) coordinating and being responsible for all fiscal aspects of purchasing
research and routine equipment and supplies, and monitoring and renewing office and scientific
equipment maintenance contracts; 3) initiating investigations and resolving complex and
unexpected fiscal issues such as incorrect pricing, non-delivery or unpaid invoices by working
productively and proactively with faculty or their team members, the School Finance Office,
University Purchasing, and vendors; 4) providing mentoring and day-to-day coaching for faculty,
staff or students with administrative issues or questions of a fiscal nature; 5) communicating
department events such as seminars and related to the VCU community through multiple
platforms, e.g., email, web page and posters; and 6) filling the role and performing all of the
duties of the Executive Assistant/Office Manager in their absence.
