  • Week to week tasks: Beginning of the day I import tickets from JCMS for court sessions to keep a list of tickets and tracking, so I am able to prepare for my court days (2 Tuesdays a month). Preparing and scheduling court dockets for court, creating folders with labels for the individual defendants, requesting driving abstracts from the DMV, making sure every folder has a Summons and Case worksheet with the defendants information and the violation summary.
  • Any new Summons and or Parking tags that we obtain from the police station I alphabetize, file for each specific court date and month. For the Parking tags I keep track of them in an Excel spreadsheet with the parking tag number/date, amount and detail whether it has been paid, unpaid, if a court date was requested. If a court date is requested I prepare that file manually in JCMS with a court date, case worksheet with defendants information, violation information and a copy of the Parking tag attached to that folder.
  • On the day of court all files are placed in the court chambers, with stamps for the final judgement on a file from the Judge, properly setting up computer equipment in the courtroom for the court session for that specified day. Preparing signage for court on all appropriate door locations in the front and back of the Town Hall. Preparing sign-in-sheets for defendants with the QR codes for obtaining MA driving abstracts along with our email so the defendants are able to email the abstracts to us, then we can present the abstract in their file for the judge when court is in session.
  • Preparing Zoom for the court session so it is able to record each and every court session so we have it on record digitally by video and sound if further action was needed to be seen for specific cases. Processing the dispositions in the court chambers as the judge is going through the court docket for the defendant's final judgement, so they are able to pay and exit their court hearing.
  • Preparing in the court clerk's office making sure the money in the drawer is verified for the day of court, intaking cash, credit card and check payments for all scheduled defendants for that specified court date, issuing receipts, issuing of alternate court dates if judge decides to extend or reschedule an appearance for further reviewing, and also scheduling Trials for defendants who wish to defend their violation in more depth so the defendant can defend their case with the police officer, so the defendant and judge can come to a final judgement on their summons.
  • Preparing the day after court: Processing of the deposit for finance from the Municipal Court Clerk's Office for the check intake obtained from the defendants, this is obtained by a cash report through JCMS breaking down cash credit cards and written check detail by defendant and amount. The cash portion of this deposit gets put into an excel sheet listed with the defendant's name, the summons number if it is cash or check (if the check then the check number is listed) with the amount, then calculated and totals should match reports. Processing of the credit card portion states on the report and is obtained and kept track of by JCMS, a third party company called Curia Systems, then each month we are sent a check from Curia systems for the input of our credit cards minus fees.Once the deposit excel sheet, with the deposit slip and 2 people verify if the cash, and checks are correct for verification process,then the deposit is given to finance for deposit, signs off on by finance, I make a copy of the deposit, scan for retention records and keep in a file for record keeping.
  • Processing the files the next day making sure all files have an attached receipt with a final disposition showing judges stamp and signature, then the final dispositions are scanned and sent to RITT for auditing and record keeping purposes. Then all the folders are processed in IMC (police computer) inputting the disposition, date and what was done if the defendant is an FTA, or they paid in advance or the day of court, and the amount. All files are kept for record retention by court date and month.
  • Processing of monthly State checks that Municipal Court has to pay the state for a portion of the fees we collect from Municipal Court with an attached report from JCMS showing all the specified collection of fees for record keeping. The monthly state check is requested from finance, once approved I obtain the report and the check and send it out to RITT, I scan it in for record retention and keep it in a file for record keeping.
  • Processing of certified mail if necessary, checking emails daily, checking voicemails daily, mailing out any mail from day to day if need be. Preparing any scheduled animal cases that may present themselves, preparing parking tag court dates if defendants choose to have a hearing,making sure all files from year to year are kept boxed and retention for 5 years with destruction dates on the boxes per auditing purposes and state requirements on correct procedures for specified violations. Preparing satisfy letters for the DMV if a defendant does not show for a court date to send down to the DMV, because when a court date is missed the defendant is put on a 60 day suspension list, once the ticket is rectified and paid in full then we fax the DMV a satisfy so they are removed from that specified suspension list. For Clearances this is for defendants who did not appear in court and have surpassed that 60 day suspension window and had their license suspended i must in turn give them Clearance paperwork so they are able to re-instate their license and I fax the DMV letting them now they rectified and made payment in full so they are cleared from any suspensions they may have had.
  • On the clerk's side processing of daily Summonses, Parking tags, Birth Certificates, Death Certificates, Marriage Certificates, Marriage License. Processing payments for these different types of scenarios. Accessing Rivers for all certificates that need to be processed. Processing of dog licences, notarizing documents with proper ID and according to state regulations, trained with a course on proper procedure and regulations regarding notarization. Answering phones daily, checking emails, and preparing my weekly task lists showing the work that was performed all week that I processed and what I did on a daily basis for that specified week. Processing NSF Certified Mail if necessary, preparing refunds for a customer is necessary with approval of the deputy and finance.
  • Learning Probate and the process as they come along, processing daily recordings as they come in by mail and or electronically. Processing of election material in CVRS, daily printout of new voter, voter changes and address changes and any cancellations that may be in que, then printing out the letter for the customer making them aware of any changes from their voter record perspective that they may have changed through the DMV. Alphabetizing the voter records and filing them away in alphabetical order by name and removing any cancellations that may be necessary. Looking up any voter information in CVRS if a voter needs information on their voting status, address change or changing their party affiliation.
  • I went to the state for training and took the appropriate courses for the certification for the election process so I am able to be certified next year on the proper rules and regulations in which the state requires regarding the elections and any voting rules and regulations as well.
  • Closing time in the clerk's office printing out the reports for the daily cash out verifying cash, credit card payments, counting the drawer and processing of any checks that were taken in for that day, then having someone else verify for dual verification. Making sure all date stamps are changed for next day dates, calendar dates are updated, doors are locked.
