• Managing the issuance of crew ID cards/cabin keys and name tags in compliance with established SOP and security requirements and policies.
• Coordinating with the HR Operations Manager in the check-in/sign on process and sign off process for all officers, staff and crew.
• Enforcing the requirement for all joining crew to review and verify the Crew Data Form is correct. Maintaining the required MAPS updates as defined by established policy.
• Assisting HR Operations Manager with Immigration inspection in all ports.
• Preparation of port papers for all ports of call.
• Preparing I-408 and Customs declaration forms for disembarking crew as required by CBP regulations.
• Preparing sign on documentation for all embarking crew in accordance with established SOP's and policies to include Crew Data Form, Crew Effects, Policies and
Procedures, Accounts and Method of Payment and Contract if applicable.
• Preparing sign off documentation for all disembarking crew in accordance with established SOP's and policies to include Notice to Crew Signing Off, Arrival instructions for next joining port and Letter for Crew, if applicable.
• Gathering, organizing and forwarding all documentation related to the crew member's completed contract to Shipboard HR OPS on a weekly basis.
• Ensuring the assignment information in MAPS is maintained accurately so that correct information is captured when download from MAPS to Fidelio occurs.
• Ensuring appropriate/required crew documents are filed, and evaluations and warnings are made part of the MAPS record.
• Ensuring crew and ship documentation is secured in the safe at all times.
• Maintaining set daily office hours to provide support and assistance to crew on a variety of issues.
