HR Substitute Registrar

  • Processing all substitute applications, sending out required information needed to complete their fingerprints/level II background checks through Safety and Security Department, Beacon substitute course, and new or returning substitute paperwork through Talent Ed. Keeping accurate and updated spreadsheets with Safety and Security Department as well as for HR purposes.
  • Managing Frontline as one of district contact for troubleshooting issues. Working daily, assigning substitutes when needed, reconciling and managing absences/TDY's with confidential secretaries as needed.
  • Creating Bay District Schools calendar in Frontline for all in-service, closed, PLC days, holidays, etc. Verifying school closures for all 10 month, 12 month, Administrative and Bay Base calendars and combining them into one District calendar beginning of each calendar year.
  • Entering and updating all substitute information in AS400, printing.
  • Verifying all schools substitute payrolls. This includes making sure that HB605 from AS400 matches information on Absence Management Report and if there are any discrepancies, contacting confidential payroll clerk at each school to correct reports. Verifying budget strips, job numbers and hours.
  • Creating salary adjustments as needed and being in contact with payroll department to make sure pay is adjusted.
  • Monitoring my regular district email as well as substitute email for district. Answering and communicating on both emails.
  • Answering phones and responding to all messages in timely manner.
  • Keeping track of no show substitutes and over worked substitutes.
  • Maintaining relationship with all payroll/substitute contacts at each school in district.
  • Scheduling onboarding for all new or returning substitutes each year.
  • Entering data in AS400, Talent Ed, Everify and Frontline.
