  • Admission of Duty (AOD) position is to exercise the authority and responsibilities of the VAMC Director’s official medical matters of patients care during the tour of duty, consisting of the following:
  • Demonstrate knowledge of logistics procedures, regulations, contracting processes with Federal and agency policies to provide recommendations
  • Admitting patients into the hospital from the ER, Liberty building, Surgery Post-opt or direct admits to or from other facilities
  • Lawful retentions are 96-hour hold that is read to the Veterans of their legal rights
  • Keeping track of patients leaving Against Medical Advice (AMA) for the General and Ledger report of bed count to balance with nurse of duty (NOD) daily/nightly reports
  • FUNDS: The collection of in-patient’s money is counted out in front of patient and nurse
  • Then deposited into the KCVA cashier safe with a signed slip from patient in a sealed envelope
  • Patient is given a receipt to collect his/her funds Monday-Friday with agent cashier
  • Communicate effectively with the maintenance facility and Nurse of Duty is a huge responsibility of compiling reports by being preparing of incidents that need immediate attention
  • Admission of Duty must generate various reports for upper authorities by keeping track of the reason of why this is happening (it could be weather related or a broken toilet) making all required actions are completed efficiently and accurate
  • Stay on track EM Resource board and the Emergency Department.
  • Board, and the White Board for the beds tracking, to be in Diversion (NO monitoring BEDS) or not to complete the G&L reports
  • Answer all calls coming in to assist issues; it’s up to AOD to find the answer of the proper avenue to direct the caller for a solution
  • Mentor Training teaches one how to be a good listener to break down a conversation to put into messages/notes to have a quick reply to turnaround.
  • After hours AOD becomes the detail clerk, so when someone dies, AOD fills out the necessary paperwork, talks with the family about death benefits and gets the necessary signatures on the paperwork
  • AOD makes sure all the inpatient deaths are recorded with the correct time of death, canceling all future appointments, or the ones that have restrictions on their clinics, sending a message to that clinic to inform them to cancel appointment
  • AOD works with Saving Sight for them to harvest corneas and run off the necessary health information for them
  • AOD helps the doctors with the necessary forms to fill out
  • This is a very big job, and AOD are the ones that all jobs fall onto.
  • This could also mean trying to track down death certificates or getting a doctor to sign the intent letter
  • Patient funds: AOD collects all funds from patients that need to deposit cash into the safe along with filling out the necessary paperwork and drop funds into the safe.
  • Courier service: AOD oversees sending discs or other information for emergencies to another hospital by arranging the courier service for a pickup
  • EM RESOURCE: We are responsible to keeping up the EM Resource board, updating any information it is asking for; Placing us on diversion and sending the message to notify everyone we are on diversion or off; Doing the monthly diversion report
  • AOD is responsible for all issues in the hospital and reporting them and authorizing someone to come in for overtime.
  • Problems are taken care of in a timely matter and keeping the ELT group informed of all issues
  • AOD accepts deliveries during the off hours and then contact the person the delivery is going to.
  • AOD is responsible for paging IT for IT issues and for employees locked out or can’t get in and need a one exemption.
  • AOD also works with the VA Police and Psych dept,. for all 96 hour holds
