Performs accounts receivable duties by accounting deadlines, such as posting charges to the resident accounts, sending resident billing statements, posting payments to residents’ ledger. Responsible for accounts payable, including entering coding and processing all invoices through Company’s third-party vendor in a timely manner, responding to vendor payment inquiries. Manages vendor information, ensuring address and other updates are processed. Obtains and updates Certificates of Insurance for all Community vendors/independent contractors and maintains W-9 binder. Maintains Community budgets monthly to ensure departments are operating within Company standards, reporting variances to the Executive Director. Coordinates all payroll functions for every department, including but not limited to confirming hours worked with department directors, processing payroll, tracking labor, and reporting variances. Maintains team member and resident files in accordance with Company policy and applicable laws and licensing requirements. Works with hiring managers to post new job openings in the applicant tracking system, coordinates pre-hire requirements for newly hired team members to ensure compliance with Company policy, state and federal laws and licensing requirements. Champions the team member new hire on-boarding and orientation process, ensuring they have uniforms, name badges and have met all employment requirements. Works with department directors to ensure all ongoing training and licensing requirements are met. Responds to State Disability and Unemployment claims timely. Performs the administrative tasks of Long-Term Care in conjunction with the Health Service Director. Responsible for managing and maintaining Community work room, including but not limited to routinely ordering all office supplies, managing office equipment, and supply contracts. Manages all workers’ compensation claim reporting and communications with injured workers and participates in the Safety Committee. Manages Drive Program by maintaining valid driver’s licenses and certificates of insurance for all team members who drive for Company business. Maintain confidentiality in all areas of work responsibility, including but not limited to, team member and resident information. As requested, participate in the Community’s Manager on Duty Program.
